As our team continues to grow, we're looking for an experienced Office Manager to take ownership of our office operations, systems, and day-to-day business support, keeping the back office running smoothly so our leadership and delivery teams can focus on the work in front of them.

The Opportunity
n
This is a key support role at the heart of our business, covering office administration, reception, financial coordination and support for our leadership team.
n
You will be trusted to manage the office with genuine autonomy, overseeing daily operations, maintaining our systems and records, and providing hands-on support across finance, compliance and people administration. You'll work closely with leadership and be a first point of contact for staff, suppliers and clients alike.

What You'll Be Doing
n
n
Manage day-to-day office operations, including office facilities, supplies, equipment, systems access and service providers.
n
Establish, maintain and improve administrative procedures, templates, registers and filing systems, including WH&S; administration.
n
Coordinate incoming correspondence, document control, meeting rooms, travel, events and other office logistics.
n
Maintain appropriate records for corporate, operational and administrative matters.
n
Identify practical efficiencies in office processes and implement improvements with management approval.
n
Coordinate communication between internal teams and support leadership with scheduling,
documentation and reporting.
n
Manage our CRM system and maintain accurate records, registers and filing.
n
Handling confidential matters, working with sensitive staff, financial, operational, or business information professionally and discreetly, and preparing confidential reports for the GM.
n
Problem-solving, dealing with routine issues independently and escalating important matters to the GM when necessary.
n
Acting as a point of contact, communicating with staff, customers, suppliers, executives, and other stakeholders on the GM's behalf.
n
Assist finance with purchase orders, job costing, expenses and basic reporting.
n
Oversee reception duties, including managing inbound customer calls and inquiries.
n
Support employee records, onboarding of new staff, leave and timesheet/payroll inputs.
n
Develop and post basic social media content, coordinating photos/videos on site and preparing simple posts for our platforms.
n
Contribute to general business support across our office locations.

About You
n
n
Strong administrative or office management background
n
Excellent communication and organisational skills, with a confident and professional phone manner
n
An understanding of accounts receivable, accounts payable and reconciliations
n
Ability to manage competing priorities in a fast-paced environment
n
Confident with Google Suite and general business software
n
Basic familiarity with social media platforms (Facebook) and the ability to create straightforward, professional content
n
High attention to detail and strong record-keeping habits
n
Professional, reliable and able to work independently
n
Experience in construction, engineering or project management is advantageous but not essential
n
