We are a highly respected and passionate administration team providing exceptional support to independent psychologists across Australia. Based in Broadmeadow, NSW, we are looking for a part time (this could potentially move to full time) Administration Assistant to join us.
n
About the Role
n
In this role, you will be the smiling friendly voice assisting psychologists with administration duties in house and also virtually for our clients across Australia. You'll need to be quick-thinking, highly organised, and tech-savvy, with excellent attention to detail.
n
Work Schedule
n
Approximately ******* hours per week.
n
Essential skills and equipment
n
n
Robust knowledge of Halaxy or Zanda (Power Diary) – PLEASE DON'T APPLY if you have not used at least one of these platforms. At least one year's experience is required.
n
Minimum of 1-2 years of experience in psychology or medical/allied health administration is required.
n
Sound knowledge of computer to troubleshoot computer issues as they occur.
n
Must be a team player, with strong communication skills.
n
Australian work rights are required for this position.
n
Advantageous – knowledge of PracSuite, Cliniko,
Best Practice and communication via Slack.
n
n
Key Responsibilities
n
n
Answering phones and handling enquiries professionally
n
Managing psychologist diaries – scheduling, rescheduling, and cancellations
n
Conducting intake calls for potential new clients
n
Processing payments and Medicare rebates
n
Liaising with Medicare to resolve issues
n
Communicating effectively with psychologists and team members
n
n

Strong attention to detail, organisation, and time management

Professionalism, confidentiality, and discretion
n
A warm and welcoming presence, even in challenging situations
n
Solid computer skills – Windows, Outlook, and scheduling software
n
Excellent phone manner and communication skillsAbility to multitask and adapt to changing priorities, hourly.
