About the Role
n
An opportunity is available for an experienced Practice Administrator to join a professional accounting firm on a full-time contract basis.
n
This is a hands‐on role for someone who enjoys being the person behind the scenes keeping a busy practice organised, ensuring administrative tasks are completed accurately and making sure nothing falls through the cracks.
n
You'll work closely with accountants and senior team members across a broad range of administrative responsibilities, from client correspondence and ATO lodgements through to invoicing, registrations, document management and database maintenance.
n
The role offers plenty of variety and autonomy, while also being supported by a wider administration structure including a Receptionist, Office Junior, Executive Assistant/Team Leader and offshore administration support.
n
Key Responsibilities
n
Your primary responsibility will be ensuring the smooth and timely completion of the practice's day‐to‐day administrative requirements, including:
n

Managing electronic and hard‐copy client collations.
n
Processing correspondence received via email, mail and ATOmate.
n
Managing correspondence from accountants, clients, the ATO and suppliers.
n
Assisting with manual and non‐electronic administrative tasks as required.
n
Preparing and issuing client invoices.
n
Completing ATO lodgements and related administration.
n
Managing client registrations, including ATO and ABR registrations.
n
Completing FuseSign administration and following up documentation.
n
Maintaining and updating the Xero Practice Manager database, including client details and address changes.
n
Monitoring the accounts email for client remittances and supplier bills.
n
Forwarding supplier bills to the Xero Bills inbox.
n
Providing general office and administrative support to the wider team.
n
Providing reception backup and telephone coverage when required,
particularly during Receptionist leave or breaks.
n
Escalating client or administrative queries to the appropriate senior team member when required.
n
Assisting with project administration and tasks that support wider business objectives.
n
Supporting the team with ad hoc administrative requirements as they arise.
n
n
Previous experience with ASIC and corporate compliance would be highly regarded, although it is not essential.

Systems Used
n
You'll have exposure to a range of accounting and professional practice systems, including:

Xero Practice Manager, including Xero Tax
n
CAS 360 – ASIC and corporate compliance
n
FYI – electronic document management
n
Microsoft Office 365
n
ATOmate – ATO correspondence
n
FuseSign
n
Class – limited involvement with SMSF accounting software
n
n
Experience across these systems would be advantageous, but strong public practice administration experience and the ability to pick up new systems quickly are equally important.
n
About the Team & Environment
n
You'll be joining an established accounting practice with a structured support team around you.
n
While this is a standalone, hands‐on role, you won't be expected to do everything yourself. You'll work alongside a Receptionist and part‐time Office Junior who will manage many of the lower‐level administrative and telephone tasks, as well as a highly experienced onshore Executive Assistant who acts as a Team Leader and additional offshore administration support.
n
This structure means you'll be able to focus on the more involved practice administration work while still having support around you when required.
n The successful person will become an key part of the day‐to‐day operation of the office and will work closely with accountants and senior staff across the business.

The Person
n
We're looking for someone who is confident working within an accounting or professional services environment and enjoys taking ownership of their workload.
n
You'll ideally have previous experience in public practice accounting administration, client services or practice support, with an understanding of the terminology, processes and deadlines involved in an accounting firm.
n You'll be highly organised, proactive and comfortable managing multiple priorities at once. You're someone who sees what needs to be done and gets on with it rather than waiting to be asked.
n
You'll also need to be comfortable communicating with accountants, clients and suppliers and know when to handle something yourself versus when to elevate it to a senior team member.
n
Experience with ASIC/CAS 360 would be a bonus, but the most important thing is that you're a capable, reliable administrator who understands how a busy accounting practice operates.
n
