Job Description
To provide effective property and lease administration support across a confidential national property portfolio, with a key focus on property-related financial administration, landlord reconciliations, lease obligations, and maintaining accurate property and lease records.
n
The role will work closely with Finance, Property, landlords, property managers and internal stakeholders to ensure property costs, outgoings and lease-related financial obligations are accurately recorded, reconciled and substantiated.

Key Responsibilities
n
n
Manage and maintain accurate property and lease records, databases and documentation;
n
Review, process and reconcile landlord and property-related invoices, outgoings, rent reviews and other lease-related financial obligations;
n
Reconcile landlord statements and supporting documentation to ensure charges are accurate, complete and appropriately substantiated;
n
Investigate and resolve discrepancies between landlord statements, invoices, lease terms and internal records;
n
Validate property-related costs against lease agreements, approvals and supporting documentation;
n
Monitor rent reviews, lease changes, outgoings and other key financial obligations and ensure relevant records are updated;
n
Liaise directly with landlords, property managers and internal stakeholders to resolve financial and lease-related queries;
n
Assist Finance with property-related accruals, budgeting, forecasting and reporting requirements;
n
Coordinate property compliance and licensing requirements, including Medicare Australia where applicable;
n
Maintain key lease dates and proactively follow up upcoming renewals, options, reviews and other obligations; and
n
Prepare property and lease reports, reconciliations and analysis as required.

Skills and Knowledge Requirements
n
n
Demonstrated experience in property, lease, finance or commercial administration;
n
Strong understanding of invoice processing, reconciliations and financial substantiation;
n
Ability to interpret lease documentation and validate property costs against contractual obligations;
n
Strong Excel and Microsoft Office skills;
n
Excellent attention to detail and analytical skills;
n
Strong communication and stakeholder management skills;
n
Ability to independently manage competing priorities and deadlines;
n
Proactive approach to identifying and resolving discrepancies.
