Job Description
n
Provide comprehensive calendar management for senior leaders, ensuring effective prioritisation and scheduling of meetings.
n
Coordinate domestic travel arrangements, itineraries, and associated logistics.
n
Support leadership with administrative tasks, correspondence, and meeting preparation.
n
Act as the primary coordinator for procurement processes, including purchase orders, vendor onboarding, invoice processing, and expense management.
n
Monitor budgets, reconcile expenses, and maintain accurate financial records.
n
Liaise with internal stakeholders and external suppliers to ensure effective financial workflows.
n
Organise end-to-end logistics for meetings, workshops, training sessions, conferences, and team events.
n
Coordinate venue bookings, catering, travel arrangements, and event administration.
n
Support the planning and delivery of major business conferences and stakeholder engagement activities.
n
Assist with the coordination and administration of strategic projects across Marketing and Supply Chain.
n
Maintain document management systems and ensure accurate record keeping.
n
Support cross-functional initiatives by coordinating activities, tracking progress, and managing project-related administration.
n
Facilitate the smooth day-to-day operation of the office environment.
n
Provide administrative support across the wider team and act as a trusted point of contact for operational matters.
n
Coordinate learning and development activities, including training schedules and team communications.
n
Executive Assistant, Team Assistant, or Strong Administration experience within a fast-paced environment.
n
Experience managing procurement processes, invoices, expenses, and vendor relationships is highly regarded.
n
Exceptional organisational skills with the ability to manage multiple priorities simultaneously.
n
A proactive, driven, and personable approach with a genuine willingness to take ownership and make things happen.
n
Excellent communication and stakeholder management skills.
n
Strong attention to detail and a commitment to delivering high-quality support.
n
The flexibility to travel between Sydney CBD and Villawood locations when required.
