Job Description

We are looking for an organised and motivated Accounts Manager to manage our accounts team and ensure the smooth running of day-to-day accounts operations.

Key Responsibilities / Capabilities
n
Accounts Payable
n
Familiarity with filing purchase orders
n
Familiarity with pairing up supplier/ subcontractor invoices to purchase orders
n
Checking supplier/ subcontractor invoices against purchase orders
n
Processing supplier/ subcontractor invoices and accounts into Xero bill function
n
Processing supplier/ subcontractor invoice payment runs
n
Ensuring accuracy of invoice coding and compliance with company procedures
n
Reconciling supplier statements and processing payment runs
n
Establishing new trade subcontractors and suppliers in Xero and other accounting systems for payment processing
n
Setting-up and maintaining accurate records of subcontractor compliance documentation (e.g. insurances, ABNs, licences)
n
Setting reminders and monitoring directors' financial and accounting deadlines to ensure all obligations are completed on time.
n
Maintaining strict adherence to payment deadlines, prioritising tasks and adjusting internal workflows to ensure all financial obligations are completed within required timeframes
n
Taking initiative and adapting to changing internal processes and priorities to ensure deadlines are consistently achieved
n
Accounts Receivable
n
Raising client invoices and progress claims in line with construction contracts & variations raised
n
Amending client progress claim schedules to meet bank requirements and project-specific requirements
n
Monitoring customer payments and following up outstanding accounts
n
Allocating customer payments & issuing receipts
n
Supporting bank reconciliations in Xero
n
Payroll Support
n
Assisting with and processing weekly/fortnightly payroll processing in Xero
n
Maintaining employee records (timesheets, leave, superannuation)
n
Ensuring compliance with Fair Work and ATO requirements
n
Preparing and lodging Australian Apprenticeship Incentive System claims and other applicable government benefit and incentive claims
n
General Accounting & Administration
n
Assisting with monthly reporting, data entry, and reconciliations
n
Supporting budgeting and cost tracking for projects
n
Liaising with project managers, subcontractors, suppliers, and clients regarding accounts matters
n
Answering phone calls and assisting with general office enquiries in a professional manner
n
Filing, maintaining records, and performing other administrative tasks as required
n
Bank Reconciliations
n
Entering credit card receipts into Xero Bills and reconciling the associated accounts
n
Posting Accounting Journals
n
Maintaining a strong understanding of Australian accounting and statutory lodgement requirements and due dates,
including BAS, superannuation and payroll tax obligations
n
Skills & Experience
n
Previous experience in accounts, bookkeeping, or administration (accounting and construction industry experience highly regarded)
n
Strong attention to detail and accuracy with data entry and invoice matching
n
Thoroughly checking Accounts Administrator work, identifying discrepancies and errors, and making or coordinating appropriate corrections
n
Comprehensive knowledge of Xero and other accounting software, including bank reconciliations, contacts, invoicing, receipts, bills, payroll, superannuation and reporting functions
n
Understanding of different business structures, including Sole Traders, Partnerships, Companies and Trusts, particularly when establishing subcontractors and suppliers
n
Maintaining a high level of accuracy, confidentiality, organisation and attention to detail across all accounting and administrative responsibilities
n
Intermediate MS Excel and Microsoft Office skills
n
Good communication and organisational skills
n
Ability to work both independently and as part of a team
n
Qualifications
n
Certificate IV in Accounting & Bookkeeping or Accounting Degree (highly regarded)
