WEDDING AND EVENTS COORDINATOR

SRG Hospitality | Sydney | Multi-Venue Portfolio
n
SRG Hospitality is entering its next chapter of growth.
n
With 15 venues across Sydney and expansion underway toward 24, we deliver thousands of events every year — from waterfront weddings and milestone celebrations to large-scale corporate experiences across some of the city's most recognised hospitality destinations.
n
We are looking for a coordinator who loves the detail and emotion of a wedding, and is equally at home planning a 200-guest corporate dinner.
n
Why This Role Matters
n
At SRG, events are not transactions. They are moments that feel personal, generous and deeply human — and none more so than a wedding.
n
We are a restaurant group, not a hotel group. Every event we deliver runs inside a trading venue, out of a kitchen that is running à la carte service at the same time. That is what makes coordination detail matter so much here: there is no banquet floor to absorb a mistake.
n
This role sits between the sale and the service. You take an event once it is won and build it into something the operations team can deliver flawlessly — the menus, the run of day, the function details, the supplier logistics, and the client relationship that holds it all together.
n
Weddings will be a significant part of your portfolio. So will corporate and social events. That is deliberate. We want a coordinator who is drawn to weddings but thinks holistically across the whole events business.
n
What You'll Be Responsible For
n
Wedding Coordination
n
Own the wedding client relationship from post-sale through to final planning handover. Weddings are high-touch by nature — couples expect responsiveness, warmth and absolute accuracy, often across a planning window of twelve months or more. You are the person who holds every detail and never lets one slip.
n
n
Manage the client relationship and communication rhythm across the full planning journey
n
Build menus, timelines and run of day in partnership with the venue and kitchen
n
Coordinate ceremony, reception, styling and supplier requirements
n
Run planning meetings, site visits and final detail confirmations
n
Prepare the handover into Events Operations so that delivery day needs no translation
n
n
End-to-End Event Coordination
n
Coordinate corporate and social events from post-sale through execution planning — ensuring every event is documented, accurate and ready to hand to the delivery team.
n
n
Prepare and manage event orders and function details end to end
n
Confirm menus, beverage packages, floor plans, AV, accessibility and access requirements
n
Liaise with suppliers, contractors and external partners
n
Track changes through to final confirmation and communicate them clearly to every party
n
Manage post-event reconciliation and close the loop with the client
n
n
Detail, Documentation and Systems
n
This is a coordination role, not a sales role. The value you add is precision — every menu, every dietary, every timing and every change captured accurately and passed to the people who need it.
n
n
Maintain accurate, current records across every booking in your portfolio
n
Produce event documentation to a consistent group standard, not a personal one
n
Ensure the handover document is complete and unambiguous before it reaches the floor
n
Keep administrative work current rather than letting it bank up behind a busy week
n
n
Working Across the Portfolio
n
We are building toward venue-agnostic coordination — a team that can pick up any event at any venue rather than being tied to a single site. It means workload is shared properly, clients are never waiting on one person, and you get exposure across the entire group.
n
n
Coordinate events across multiple SRG venues rather than a single location
n
Step in when the team is at capacity or a coordinator is on leave
n
Maintain continuity so every client experiences one consistent standard
n
Contribute to the shared templates, playbooks and ways of working as the team scales
n
n
Commercial Awareness
n
You are not carrying a sales target, but you protect the commercial outcome of every event you touch.
n
n
Uphold F&B; minimums, package inclusions and agreed terms
n
Identify genuine upsell opportunities through the planning journey
n
Understand displacement — an event occupies space the restaurant would otherwise trade
n
Ensure accuracy from booking through to final invoicing
n
n
Who You Are
n
You are drawn to weddings — the emotion, the detail, the weight of getting it right — but you are just as engaged by a corporate dinner or a milestone birthday.
n
You thrive in environments where:
n
n
Detail matters.
n
Timing matters.
n
Responsiveness matters.
n
Volume is real.
n
n
You are described as:
n
n
Unflappable under pressure
n
Detailed and process-oriented — you work to a system, not to memory
n
Naturally warm and relationship-oriented, particularly with clients at emotional moments
n
Solutions-focused, not excuse-focused
n
Organised without being rigid
n
Able to hold many events at once without dropping the thread on any of them
n
Proud of your craft
n
n
Your Background
n
We welcome candidates from mid-level through to senior experience.
n
n
2–5+ years in event coordination, wedding coordination or event management within hospitality
n
Demonstrated wedding coordination experience, or clear evidence of the detail and client-care standard weddings demand
n
Multi-venue or high-volume experience highly regarded
n
Strong systems capability and confidence with event and booking platforms
n
Ability to manage multiple events concurrently at different stages of planning
n
Clear, confident written communication with clients and internal teams
n
Understanding of event budgets, minimums and financial reporting
n
n
A background across a mix of wedding, corporate and social events is ideal. A wedding-focused background is equally welcome if you are genuinely excited to broaden.
n
