Job Description
Lead a great front-of-house team in a busy, growing healthcare workplace where patient experience really matters.

Kinkaya Health is looking for an experienced medical administration professional to step into a newly created Support Lead role at our Innaloo clinic.
n
This is an ideal opportunity for an experienced medical receptionist, senior administrator, 2IC or team leader who enjoys being hands-on with the team, solving problems and creating calm and consistency in a busy clinical environment.
n
This is not a traditional Practice Manager position. You won't be responsible for payroll, bookkeeping, formal HR or complex Medicare claiming. Instead, your focus will be on supporting our administration team, coordinating the day-to-day operation of the clinic and helping us continually improve the experience we provide to patients and families.

Kinkaya Health is a purpose-built healthcare service in Innaloo with a strong focus on children and families. Our services include walk-in urgent care, general practice and access to on-site X-ray and pathology. We aim to provide an exceptional experience for patients and carers from their first point of contact with us.

About the role
n
Reporting to the Operations Manager and working alongside our Medical and Nursing Leads, you will be the day-to-day point of support for our administration team.
n
Provide daily leadership, guidance and practical support to the reception and administration team.
n
Coordinate the fortnightly support roster, shift changes and short-notice cover.
n
Support smooth patient flow and step onto the front desk during busy periods.
n
Help staff manage difficult patient interactions and resolve routine front-desk concerns.
n
Train, orient and support new team members.
n
Maintain high and consistent standards across reception and administration.
n
Run daily team handovers and ensure important operational information reaches the team.
n
Monitor completion of key daily administrative processes. Identify workflow problems and opportunities to improve the patient journey.
n
Work with the Operations Manager to capture, simplify and improve the practical processes used by the administration team.
n
Help embed new systems, processes and ways of working across the clinic.
n
About you
n
We're looking for someone who is steady, approachable and organised - someone people naturally turn to for help, but who is also comfortable setting expectations and having constructive conversations when needed.
n
Strong experience in medical reception, medical administration or practice support.
n
Experience working directly with patients and handling point-of-service billing.
n
Previous team leader, senior receptionist, 2IC or coordination experience is highly regarded.
n
Confidence supporting, coaching and training other team members.
n
Excellent communication and interpersonal skills.
n
Strong organisational skills and the ability to prioritise in a busy environment.
n
Good judgement about what you can resolve yourself and when something needs to be escalated.
n
Experience with practice management software; Best Practice Premier experience would be highly regarded.
n
Rostering experience would be an advantage.
n
Sound understanding of patient privacy and confidentiality. An interest in improving processes and documenting explicit, practical ways of working.
