The role and key duties
n
Create personalised and memorable guest experiences from first contact to event completion.
n
Manage the end-to-end coordination of weddings and events across the retreat.
n
Respond promptly to enquiries, qualify opportunities, and convert leads into confirmed bookings.
n
Conduct site inspections and client consultations to understand event requirements, preferences, and budgets.
n
Prepare proposals, contracts, event orders, timelines, and run sheets.
n
Provide expert guidance on event planning, menus, styling, and guest experiences.
n
Coordinate with internal departments including F&B;, culinary, housekeeping,



and front office teams to ensure seamless execution.
n
Build and maintain strong relationships with vendors, including florists, photographers, stylists, and entertainers.
n
Collaborate with the Sales team to ensure event collateral, sales kits, and promotional material remain current.
n
Manage event administration, payments, account settlements, and post-event follow-up.
n
You'll thrive in this role if you have...
n
Diploma in Events, Hospitality Management, or a related field (preferred).
n
2-3 years' experience in event planning and sales, ideally within a luxury hospitality environment.
n
Previous wedding coordination experience, including liasiing directly with brides and guests
n
Experience using Salesforce CRM, Event Temple, or similar systems (preferred).
n
Exceptional attention to detail and strong organisational skills.
n
Outstanding customer service, communication, and stakeholder management abilities.
n
Robust negotiation and relationship-building skills.
n
Flexibility to work a rotating roster, including weekends and public holidays.
n
Reliable transportation to and from the retreat.
n
Based locally or willing to relocate to the Sunshine Coast Hinterland region.
