At Dixon Appointments, we've spent a long time partnering with some of Melbourne's leading universities, providing the people who help their campuses, students and programs run brilliantly.

And some of that work is pretty special.

We recruit and coordinate large pools of casual employees who work across our university clients in roles including Exam Invigilators, Education Access Workers (EAWs), Student Ambassadors, Mentors and other student-support positions.

These are high-volume, rapid-moving workforces with hundreds of shifts to fill and behind every one of those shifts is a person relying on the process to work.

That's where you come in.

We're looking for a Talent & Rostering Coordinator who genuinely loves creating order from complexity, gets a little bit excited by a great system, and cares deeply about giving both candidates and clients an exceptional experience.

What you'll be doing
This role sits at the intersection of recruitment, rostering, technology and service.

You'll help us make sure we always have strong, engaged talent pools ready to support our university clients, while also helping manage the technology and processes that connect our people with available work.

You'll:

- Recruit and interview candidates for our university-based casual workforce, ensuring our talent pools remain healthy and ready to respond.
- Build genuine rapport with candidates and confidently assess their suitability for roles where reliability, communication and care really matter.
- Support the coordination of complex casual workforces across multiple university clients.
- Become a go-to expert in our rostering platform, helping candidates accept and book shifts and supporting clients as they load and manage their requirements.
- Collaborate with clients on upcoming demand, candidate availability and talent pool numbers so we're ahead of requirements rather than chasing them.
- Troubleshoot system or rostering issues quickly,



calmly and with a solutions mindset.
- Communicate with candidates before, during and after assignments to make sure they feel informed and supported.
- Work closely with our university clients to make their experience with Dixon easy, responsive and dependable.
- Keep candidate records, compliance requirements and workforce information accurate and up to date.
- Look for ways we can continually improve the process.
- You'll spend a good part of your day on the phone, so this role suits someone who genuinely enjoys that kind of conversation and connection.
- You'll also lend a hand across the wider recruitment team, from resourcing to compliance and everything in between.

Who we think will love this role
You might already have experience in recruitment coordination, workforce scheduling, high-volume recruitment, rostering, HR administration, university staffing, events or workforce operations.

But more important than your exact job title is how you operate.
You're someone who:

- Is confident interviewing people and can make good judgement calls about candidate fit.
- Is exceptionally organised and comfortable managing a lot of moving parts at once.
- Learns systems quickly and enjoys finding smarter ways to use technology.
- Has strong attention to detail because when hundreds of people and shifts are involved, the little things matter.
- Communicates with warmth and professionalism across different audiences, from a university stakeholder to a casual employee preparing for their first shift.




- Takes ownership and follows things through.
- Can stay calm when plans change, a shift needs filling or something doesn't quite go to plan.
- Understands that great service isn't just being friendly it's being responsive, accurate, reliable and making things easy for people.
- Brings energy, curiosity and a genuine desire to do a great job.
