Job Summary

The Operations System Specialist is responsible for supporting, maintaining, and improving operational systems and processes to ensure smooth, efficient, and accurate day-to-day business operations. The role involves system administration, data management, process improvement, troubleshooting, reporting, and coordination with internal teams and technology stakeholders.

The ideal candidate should have strong analytical and problem-solving skills, attention to detail, and the ability to understand both operational requirements and system functionality.

Key Responsibilities

- Manage and support day-to-day operations systems and business applications.
- Monitor system performance, data accuracy, workflows, and operational processes.
- Identify system or process issues and coordinate timely resolution.
- Maintain accurate operational data, records, configurations, and user access.
- Work with Operations, IT, Finance, Sales, and other teams to understand system requirements.
- Assist in system configuration, testing, implementation, and upgrades.
- Develop and maintain operational reports, dashboards, and performance metrics.
- Analyze operational data to identify trends, inefficiencies, and improvement opportunities.
- Document standard operating procedures, system processes, and workflows.
- Support automation and process-improvement initiatives.
- Conduct user training and provide first-level system support when required.
- Coordinate with software vendors or IT teams for technical issues and enhancements.
- Ensure operational processes comply with company policies and controls.
- Participate in system testing, UAT, data validation, and new process rollouts.




- Maintain system documentation and ensure changes are properly recorded.

Required Qualifications
- Bachelor's degree in Business Administration, Operations, Information Systems, Computer Science, or a related field.
- 2 5 years of experience in operations, business systems, system administration, MIS, or a similar role.
- Strong knowledge of Microsoft Excel and data analysis.
- Experience working with ERP, CRM, workflow, inventory, logistics, or other business systems.
- Good understanding of operational processes and workflow management.
- Solid analytical and problem-solving abilities.
- Excellent attention to detail and data accuracy.
- Good communication and stakeholder-management skills.

Preferred Skills
- Experience with ERP/CRM systems such as SAP, Oracle, Microsoft Dynamics, Salesforce, Zoho, or similar platforms.
- Knowledge of SQL or basic database concepts.
- Experience with Power BI or other reporting/BI tools.
- Understanding of process automation and workflow tools.
- Experience with API integrations or system-to-system data flows is an advantage.
- Knowledge of project management and process-improvement methodologies.
