Opportunity
This role reports to the General Manager Projects and is primarily responsible for Projects Coordination and maintaining scheduling projects periodical cleaning requirements as well as the delivery of day-to-day support to our Projects team in a range of areas. This includes scheduling, records, and uniform management. The role plays an integral part within the business interfacing closely with all levels of fieldworkers and the Management team.
We are looking for a highly motivated, and energetic self-starter with strong organisational & customer service skills. This is a diverse role that will allow you to be involved in various aspects of the business. Your attention to detail and the ability to prioritise, plan and delegate will be key. Calm under pressure and capable of thinking on your feet, you will be a results-oriented person with proven abilities in developing positive relationships with clients, customers, and co-workers.
Your key responsibilities will involve:
- Coordinate planning and scheduling of periodical projects.
- Entering scheduling data accurately in the SimPro database for periodical projects.
- Efficient and accurate rostering of staff within their available hours and sites
- Approve and submit time sheets of projects fieldworkers.
- Liaise with GM Projects, Area Managers and Project Supervisor to ensure project works meets requirements.
- Forward thinking and planning to maintain and prioritise appropriate periodicals works for sites
- Management of data and monitoring data integrity.
- Approval of travel milage claimed by staff, (completed through rostering system)
- Ensure staff are supported in their role
- Updating and maintain individual job requirements.
- Management of Maps, site induction requirements, job descriptions for technicians
- Approve and verify the completion of all jobs.
- Development and coordination of the weekly / monthly forecast.
- Tracking progress against plan and compiling progress reports.
- General administrative tasks and assistance to the broader Operations team as required.
To thrive in this role you will have:
- Experience in rostering / Scheduling
- Minimum 2 years' experience in a similar level administration role.
- Attention to detail is a must when providing consistent, efficient and accurate scheduling.
- Possesses a high level of verbal, written and communication skills.
- Enjoys a challenge, learning new tasks and taking initiative.
- Industry knowledge and experience are highly desirable but not necessary.
- Ability to build trusted relationships and work in confidence with stakeholders.
- Exceptional communication,
interpersonal and customer relationship skills with a professional demeanor and approachable nature.
- Able to thrive in a quick-paced environment and understand how to prioritise your work.
- Willing to adapt to a flexible work schedule to meet business requirements, when required.
- Intermediate skill level with Microsoft Office suite and the capacity to learn new technical skills.
