About the Role
Contract Type: Fixed-Term Maternity Leave Contract
Start Date: 12 October 2026 | End Date: 1 June 2027
We are seeking an experienced and organised Medical Secretary to join our fast-paced specialist orthopaedic practice on a fixed-term maternity leave contract.
This is an excellent opportunity to become part of a skilled and supportive team, providing dedicated administrative support to an orthopaedic surgeon while helping to deliver an outstanding patient experience.
Working Hours:
Monday to Friday, on a rotating roster of 8:00am to 4:00pm or 9:00am to 5:00pm.
Key Responsibilities
Surgical & Theatre Coordination
- Coordinate surgical bookings with hospitals and theatres.
- Arrange anaesthetists, surgical assistants, and required instrumentation.
- Communicate booking details and pre-operative information to patients and relevant stakeholders.
Patient Administration
- Manage appointments, scheduling, and patient enquiries.
- Manage patient communication via telephone and email in a professional manner.
- Liaise effectively with surgeons, hospitals, health funds, and other healthcare providers.
- Maintain accurate patient records and follow up missed appointments.
Billing & Accounts
- Prepare surgical quotations and process patient payments.
- Generate invoices for procedures, reports, and forms.
- Maintain accurate billing, receipting,
and payment records.
- Monitor and follow up outstanding accounts.
Documentation & Reporting
- Prepare and format medical correspondence, reports, and letters.
- Process requests for medical reports and forms.
- Maintain accurate and confidential patient documentation.
- Review and format correspondence generated through AI scribe technology.
About You
To be successful in this role, you will have:
- Previous experience as a Medical Secretary, with experience in a specialist surgical practice highly regarded.
- Excellent organisational and time management skills.
- Strong written and verbal communication abilities.
- High attention to detail and accuracy.
- A professional, empathetic, and patient-focused approach.
- Experience using medical practice management software and Microsoft Office.
- A commitment to confidentiality, teamwork, and professionalism.
- Knowledge of theatre bookings and private practice administration.
- Understanding of private health fund and Medicare billing procedures.
