The Administrative Coordinator supports the work of the Mental Health Legal Centre (MHLC) in all areas with a focus on consumer and stakeholder engagement, client intake, and administrative support for the Mental Health Tribunal Advocacy and Generalist Programs. The position is responsible for intake, data entry and administrative support, consumer engagement by phone and email, and the coordination of legal representation for consumers. The role reports to and is supported by the Administration Manager. The incumbent must have excellent organisational skills, excellent people engagement skills (for working with people from diverse backgrounds and people who identify as having psychosocial disability), and the ability to undertake a dynamic range of tasks in a pressured setting based on operational priorities.

Key responsibilities

- Manage in collaboration with the Office Manager, intake and referral processes, data entry, rostering and allocations of work

- Support the oversight of and ensure that ActionStep database and all project databases are being accurately maintained

- Day-to-day coordination of all administrative tasks and monthly reporting on all project/program goals and service targets

- Exercise an elevated level of interpersonal skills in dealing with the public and other organisations

- Schedule, attend and monitor regular staff supervision meetings

- Participate in annual planning and strategic development

- Ensure compliance with policies and procedures for the administration team

- Undertake other general duties as required including providing cover for other roles during busy periods

- Conduct employee, volunteers and students onboarding and help organise training & development initiatives

- Implementing and monitoring work plans

About you (Key Selection criteria)

- Minimum of 5 years' experience, preferably in the legal sector

- Excellent organisational skills with an ability to keep track of multiple streams for different stakeholders

- Ability to deliver high quality, diverse, inclusive and accurate administrative support to the organisation – including delivering on and managing high volumes of calls and data management for intake and referral

- Ability to provide managerial support to the Operations and Programs Manager and working with a small team of administrative staff across the organisation and programs

- Ability to develop strong relationships with other supporting organisations/services

- Ability to manage and maintain all IT systems including but not limited to account creations and licensing, IT register of assets, security FOB register and coordinating and overseeing all hardware desk location setups for onboarding

- Ability to work effectively both independently and in a team to contribute to the achievement of program deliverables and organisational objectives

Benefits

- 1 FTE (76 hours per fortnight - negotiable) fixed-term for 12 months

- SCHADS Level 4 Award salary subject to skills and experience

For nearly 40 years, MHLC has delivered accessible legal services to consumers of mental health services and to people who are incarcerated. We deliver community education and advocate for systematic change that enhances the rights of people experiencing mental health issues. Our multidisciplinary team (law, paralegal, community educators and financial counselling) provide a range of innovative services in the community, in treatment facilities and in prisons.
