It implements programs and projects to protect the rights of children and support vulnerable populations, helping them achieve self-reliance and rebuild hope.
Good Neighbours Australia (GNAU), established in ****, supports programs across education, health, nutrition, water and sanitation, economic empowerment, and humanitarian relief, while also responding to needs within Australian communities.
GNAU is a member of the Australian Council for International Development (ACFID), registered with the Australian Charities and Not-for-profits Commission (ACNC), and holds Deductible Gift Recipient (DGR) and Public Benevolent Institution (PBI) statuses.
Position Overview The Donor Administration Officer plays a vital role in supporting Good Neighbours Australia's fundraising and operational activities by ensuring the efficient administration of donor services, fundraising campaigns, and organisational processes.
This position is responsible for delivering a high standard of donor care through accurate donation processing, CRM database management, reporting, and donor communications, helping to build strong and lasting relationships with supporters.
Reporting to the Admin Manager, the role also provides broad administrative support across the organisation, including assisting with human resources administration, meeting coordination, and office operations, event coordination.
In addition, the Donor Administration Officer supports the coordination of domestic and international In-Kind (IK) projects, including logistics, shipping documentation, and stakeholder liaison.
The ideal candidate is highly organised, detail-oriented, and proactive, with excellent communication skills and the ability to manage multiple priorities in a collaborative, purpose-driven environment.

Key Responsibilities As an integral member of the Good Neighbours Australia team, you will adopt a professional, collaborative, and values-based approach to delivering exceptional donor administration, organisational support, and operational coordination.
Key responsibilities include: Manage the end-to-end donor administration process, including the accurate processing of donations, issuing tax receipts, distributing donor correspondence, and coordinating donor stewardship communications.
Maintain and monitor the Regular Giving program, including declines, upgrades, reinstatements, and donor conversions to maximise donor retention.
Support fundraising campaigns/events by working closely with the Campaign Manager to ensure campaign administration, data processing, and donor communications are completed accurately and on time.
Maintain the integrity, accuracy, and confidentiality of donor information within the CRM database (Kindful or equivalent), ensuring data quality and compliance with privacy requirements.
Produce donor reports, database analysis, and insights to support fundraising performance and organisational decision-making.
Liaise with external fundraising agencies and suppliers to coordinate campaign data, import files, and reporting requirements.
Ensure accurate data entry, banking reconciliation, receipt generation, and mailing processes across all fundraising activities.
Prepare and reconcile – income reports, ensuring banking records and financial documentation are accurate and completed within required timeframes.
Provide administrative support to the Admin Manager, assisting with the day-to-day operations of the organisation.
Prepare meeting agendas, take minutes, and coordinate follow-up actions for internal meetings.
Assist with human resources administration, including onboarding and offboarding of staff and volunteers, maintaining personnel records,



and supporting HR processes.
Assist in coordinating domestic and international In-Kind (IK) projects, including logistics, shipping documentation, inventory tracking, and stakeholder communication.
Provide administrative and operational support across organisational projects and initiatives as required.
Undertake additional duties and special projects as directed by the Executive Director or Admin Manager.
Key Skills and Experience Minimum 2 years in donor administration, customer service, administration, or a similar operational support role.
Experience using CRM systems (Kindful or similar donor management platforms), with a strong understanding of donor administration processes.
Experience coordinating logistics, freight, shipping, or in-kind aid programs will be highly regarded.
Experience coordinating donor/fundraising events Advanced Microsoft Office skills, particularly Excel, with strong analytical and reporting capabilities.
Excellent organisational skills with the ability to manage multiple priorities, meet deadlines, and maintain a high level of accuracy and attention to detail.
Strong written and verbal communication skills, with the ability to build positive relationships with donors, partners, volunteers, staff, and external stakeholders.
High level of professionalism, integrity, discretion, and commitment to confidentiality.
Ability to work independently while contributing effectively as part of a collaborative team.
