We're now seeking an experienced Administration Officer to join our Orange-based clinic.
n
About the Role
n
This is a dynamic and rewarding position that combines front-of-house reception with behind-the-scenes coordination and client relationship management.
n
You'll be the friendly first point of contact for families — welcoming them to our service, answering enquiries,
and guiding them through the onboarding process with warmth and professionalism. You'll also play a key role in ensuring appointments, reports, and communications flow seamlessly between our clinicians, schools, and families.
n
Key duties include:
n
n
Greeting and assisting clients and families with care and professionalism
n
Managing new enquiries, converting leads to bookings, and supporting client retention through accurate and timely record keeping
n
Booking and coordinating appointments across multiple clinicians' diaries
n
Handling referrals through responsive waitlist management and supporting a client's journey into the service
n
Preparing invoices across multiple funding streams, ensuring compliance and accurate record keeping
n
Assisting in risk management processes and handle client records with privacy and confidentiality
n
Participate energetically in a team environment to ensure administrative tasks are complete and the environment is organised
n

About You
n
You're experienced, organised, approachable, and thrive in a busy environment where people and process matter equally. You enjoy connecting with clients and ensuring every interaction feels supported, while keeping operations running smoothly in the background.
n
n
Highly organised with strong attention to detail
n
Friendly, confident communicator — both in person and over the phone
n
Strong admin and customer service skills
n
Able to multitask and stay calm in a fast-paced clinic
n
Experience in health, education, NDIS admin (preferred)
n
Comfortable guiding clients through services, bookings and funding options
n
Team player with a flexible, can-do attitude
n
