Key Details:
- This position is Permanent Full Time from Monday 12th October 2026.
- Be advised that due to the size of the office and requirement to be available for clients between the hours of 8:30am and 4:30pm, there will be limited opportunities to work flexible schedule.
The successful candidate will play an integral role in the following:
- Manage administrative activities associated with a case file including opening, closing and archiving files; transcribing interviews; data entry and searches.
- Help the lawyer prepare for matters including preparing correspondence, keeping detailed file notes, gathering personal information from clients.
- Act as the first point of contact at the counter and manage all incoming calls including providing legal information and referral advice.
- Help lawyers prioritise daily tasks and maintain appointments and calendars including scheduling appointments with clients, interpreters, experts and other relevant stakeholders. Also make bookings for rooms, videoconferences.
- Ensure appropriate grants of aid are allocated to files, process requests for grants or extensions of aid using e-lodge, pay accounts and generate cheques.
- Help with administrative activities including providing a secretariat function, preparing spreadsheets, maintaining equipment and supplies, mail, records management and other activities as directed.
About You:
- You have administrative experience and can use information technology systems (eg. Microsoft Office) and learn organisation specific programs.
- You can work independently, demonstrate flexibility and reschedule or reorganise work to reflect changes in priority.
- You can communicate effectively with stakeholders including clients with complex needs, you remain calm and positive in difficult situations and provide courteous, prompt and professional services.
