This is a hands-on coordination role suited to someone with experience in facilities management, building maintenance, construction services or trade-based service delivery.

Working closely with the Managing Director and Service Delivery team, you will coordinate reactive and planned maintenance works from initial request through to completion, while helping the team manage workloads, priorities and client requirements.

You will be responsible for keeping jobs moving; coordinating trades and subcontractors, preparing quotations, scheduling works, communicating with clients, monitoring progress and ensuring the required documentation is in place.

As the senior member of the Service Delivery team, you will also provide day-to-day guidance and support to other coordinators and act as a point of escalation when operational issues arise.

What you will be doing

- Coordinate reactive maintenance, planned maintenance and minor works from request through to completion.

- Manage incoming client requests, work orders and service requirements.

- Schedule internal trades, subcontractors and other resources.

- Coordinate site access, inductions, materials and attendance requirements.

- Monitor active jobs, priorities, deadlines and outstanding actions.

- Keep clients informed of job progress, delays and outcomes.

- Prepare accurate maintenance and minor works quotations.

- Obtain and review supplier and subcontractor pricing.

- Review labour, material and subcontractor costs when preparing quotations.

- Raise and monitor purchase orders and work orders.

- Coordinate subcontractors and ensure required compliance documentation is received.

- Support job completion, documentation, close-out and invoicing processes.

- Maintain accurate information within company systems.

- Assist with workload allocation and daily operational priorities across the Service Delivery team.

- Provide guidance and support to Service Delivery Coordinators.

- Assist with resolving escalated client, contractor and operational issues.

About you

We're looking for someone who understands the realities of coordinating maintenance works; priorities change, urgent jobs arise, contractors need following up and clients expect clear communication.

You'll be someone who can keep multiple jobs moving without losing sight of the details.

Ideally, you will have:

- At least 3 years' experience in facilities management, maintenance coordination, service delivery, contract administration or a similar role.

- Experience coordinating reactive and planned maintenance works.

- Experience scheduling tradespeople and subcontractors.

- Experience managing multiple jobs and competing priorities.

- Experience preparing quotations and obtaining subcontractor and supplier pricing.

- Strong customer service and stakeholder management skills.

- Excellent organisation and time-management skills.

- Solid written and verbal communication.

- Confidence dealing directly with clients, contractors, suppliers and field staff.

- Good commercial awareness and an understanding of labour, material and subcontractor costs.

- Strong attention to detail and accurate record keeping.

- A practical, solutions-focused approach to problems.

- Sound understanding of workplace health and safety and contractor compliance.

- Confidence using Google WorkSpace, Simpro and job or maintenance management systems.

- Current Australian Driver's Licence.

Experience in any of the following will be highly regarded:

- Commercial facilities management or building maintenance.

- Construction or trade-based environments.

- Simpro, similar job/maintenance management systems.

- Supervising, mentoring or supporting a coordination team.

- WHS or contractor compliance.

- Construction Induction Card (White Card).

Formal qualifications in Leadership and Management, WHS, Project Management, Facilities Management, Building, Construction or a relevant trade will also be viewed favourably but are not essential.
