We are looking for a Client Services Officer to join our Sydney team in Balmain. This is an on site, full time opportunity for someone who takes pride in delivering exceptional service, maintaining accurate records and keeping complex client matters moving forward. About the Role

You will work closely with our Financial Advisers and broader advice team to support clients throughout their financial planning journey. This is a handson role involving client communication, advice implementation, document preparation, application processing and ongoing follow-up with clients and external providers. You will become a trusted extension of the advice team, helping ensure every client receives a seamless, professional and reassuring experience.

Key Responsibilities

Depending on your experience, your responsibilities may include:

- Supporting Financial Advisers with the preparation and implementation of financial advice
- Preparing client documents, application forms and implementation paperwork
- Reviewing application forms and identification documents for accuracy and completeness
- Managing superannuation rollovers, investment applications, insurance applications and account openings
- Following up outstanding documents, signatures and information with clients
- Liaising with superannuation funds, insurers, investment platforms, fund managers and other third parties
- Maintaining accurate client records, file notes, meeting notes and task updates




- Coordinating client review meetings and preparing review documentation
- Monitoring pending applications, transfers and transactions through to completion
- Proactively identifying upcoming review dates, missing compliance documents and outstanding client actions
- Responding to client enquiries promptly and professionally
- Escalating technical advice questions or client concerns to the appropriate Financial Adviser
- Supporting the wider team with administrative and operational tasks when required

- Acknowledge client enquiries promptly so clients always feel heard and supported
- Communicate proactively rather than waiting for clients to follow up
- Keep clients informed about the progress of applications, transfers and outstanding actions
- Remain calm and reassuring when clients are concerned about markets or their financial position
- Recognise when a matter must be escalated to a Financial Adviser
- Build genuine, professional relationships with clients over time
- Treat every client with care, patience and respect

You will need to:

- Understand the importance of privacy, confidentiality and secure handling of sensitive information
- Develop a working understanding of financial services compliance
- Recognise the importance of complete and accurate Statement of Advice documentation
- Carefully review forms, identification documents and supporting information before submission
- Maintain accurate client histories, file notes and records within our systems
- Handle personal financial information, tax records, identification documents and medical information with absolute discretion
- Follow approved processes and raise any errors, inconsistencies or compliance concerns immediately

Skills and Experience

We welcome applications from both junior and experienced candidates.

Ideally, you will have:

- Experience/interest in financial planning, wealth management, superannuation, insurance, banking or professional services
- Previous experience in a Client Services Officer, Adviser Support or financial planning administration role
- Strong written and verbal communication skills
- Strong Microsoft Office skills
- The ability to learn specialised financial planning software and CRM platforms quickly
- Experience maintaining accurate client records, meeting notes and workflow updates
- An understanding of the financial advice process from initial engagement through to implementation and ongoing review

Experience with Xplan, AdviserLogic, HUB24, Macquarie, Interactive Brokers or similar platforms will be highly regarded but is not essential.
