The Impact of the Role
This is a hands-on business operations role for someone who loves turning ideas into action, improving the way organisations work and keeping complex projects moving.
Reporting to the Chief Operating Officer, you will work across Youth Insearch to implement and improve the systems, processes and operational frameworks that support day-to-day effectiveness, compliance and future growth. The role has a broad remit across financial and commercial operations, contracts, procurement, compliance, reporting and organisational improvement.
Youth Insearch operates with an outsourced service model across key functions, including Finance, P&C; and IT. Rather than leading large internal teams, you will act as a key internal coordination point, working with external providers and internal stakeholders to ensure priorities are delivered, issues are resolved and initiatives move from planning through to implementation.
You will bring strong project management capability, operational discipline and a willingness to get into the detail. From strengthening reporting and contract processes to improving procurement, systems and cross-functional ways of working, your focus will be on creating practical improvements that make the organisation more efficient and effective.
Technology and AI will also form an important part of this role. Youth Insearch is actively embracing emerging tools and looking for practical ways to embed AI across the organisation to improve efficiency, capability and impact.

Key responsibilities include:
- Coordinate financial management, reporting and control activities in partnership with the COO and external finance providers.
- Support budgeting, forecasting, financial planning and regular management reporting.
- Monitor financial performance, coordinate variance analysis and ensure risks and issues are identified and escalated.
- Oversee the day-to-day coordination of payroll, finance operations, audit requirements, funding compliance, acquittals and reporting.
- Coordinate contract management processes, including contract registers, documentation, variations, performance monitoring and risk identification.
- Support compliance with legal, regulatory and funding obligations and maintain strong documentation and audit trails.
- Implement and improve procurement processes, supplier management and sourcing activities.
- Lead and coordinate cross-functional operational projects from planning through to implementation.
- Identify opportunities to simplify processes, improve systems and strengthen organisational efficiency.
- Support financial modelling, costing, business cases, grant submissions, tenders and growth initiatives.
- Coordinate dashboards, KPIs and financial and commercial reporting to support effective decision-making.
- Work closely with external Finance, P&C;, IT and specialist providers to ensure agreed priorities and service outcomes are delivered.
- Explore and implement practical uses of AI, automation and emerging technology to improve efficiency and organisational capability.
About You You’re a hands-on finance and operations qualified with strong project management capability and a practical approach to getting things done. You’re financially confident, commercially minded and enjoy working beyond the numbers to improve systems, strengthen processes and turn organisational priorities into practical outcomes.
You will bring:
- Tertiary qualifications in accounting, management, business or a related field. Formal CA/CPA qualifications would be valued but are not essential.
- Strong business operations and project management experience, with a track record of successfully implementing projects and improvements.
- Strong financial and commercial capability, including confidence working with budgets, reporting and financial information.
- The ability to work across multiple functions and coordinate internal stakeholders and external service providers.
- Experience improving systems, processes and operational ways of working.
- Strong organisational skills with the ability to manage competing priorities, maintain momentum and follow through.
- Experience across contracts, procurement, compliance or governance.
- A practical, solutions-focused approach with the willingness to work both at a broader organisational level and in the operational detail.
- Confidence using technology and AI, with curiosity about how emerging tools can improve efficiency, capability and impact.
- Strong relationship-building and communication skills, with the confidence to work closely with senior leaders and external partners.
- High levels of integrity, accountability and sound judgement.
