We are looking for someone to run the operational side of moving clients across to our advisers, to work with our life company partners until every policy has landed where it should, and to keep the practical side of the office running while they do it.
You need to have worked in life insurance. We expect that you have dealt with adviser codes, insurer portals and policy data.
About the role
Clients come to us in large groups rather than one at a time. Getting them across means adviser codes changing at the life companies, policy data moving into Xplan, and every client being picked up by a new adviser.
You would report to the Head of Financial Advice and work alongside our advisers, our operations team, the client engagement team and our offshore team. Full time, Monday to Friday, in our Neutral Bay office.
What you would be doing
Running the transition
– Run each new group of clients through our transition checklist, and hold the gates so nothing moves forward before it is ready.
– Keep the transition plan current so anyone can see where each group is up to and what is blocking it.
– Escalate what you cannot unblock, early.
Chasing the life companies
– Confirm with each life company that the adviser codes have actually transferred.
– Reconcile the client list against both internal and external data sources and chase any discrepancies.
Checking the advice documents
– Work through the advice documents that come across with each group against a set checklist.
Keeping Xplan right
– Ensure each Xplan conversion has successfully transferred the required data to our records.
Keeping the office and the equipment running
– Order laptops, phones, monitors and anything else a recent starter needs, so their desk is ready before they arrive.
– Manage software subscriptions and licences,
and track renewals so nothing lapses or quietly auto renews.
– Arrange office services and suppliers, cleaners included, and deal with them when something is not right.
– Be the person people come to when something in the office needs sorting out.
About you
You need
– At least two years in life insurance: adviser support, licensee operations, insurer administration or similar.
– An understanding of adviser codes and servicing codes, and how commission is paid and reported.
– Experience using insurer portals, and enough familiarity to read a transfer or in force report.
– Competent Excel.
– Organised. You keep several things moving at once and do not lose any of them.
– Real attention to detail. You notice when two numbers do not match, and you check rather than assume.
– The habit of following things up without being reminded.
– Notes that make sense to someone reading them six months later.
Nice to have
– Xplan experience.
– Experience moving clients between advisers or licensees.
– RG 146, or study underway.
– Experience working with an offshore team.
