About the Role

An opportunity is available for an experienced Project Support Officer to contribute to a major Commonwealth ICT and digital transformation initiative.
You will work closely with Project Managers, program leadership, technical specialists and business stakeholders, providing the coordination and governance support required to keep project activities organised and progressing.

The position combines project administration with governance, reporting, stakeholder coordination and documentation, making it well suited to someone who thrives in a structured but fast-moving technology delivery environment.

Position: Project Support Officer - APS5 Equivalent
Location: Melbourne, VIC
Working Arrangement: Hybrid
Start Date: ASAP
Duration: Until 30 June 2027
Hours: Up to 40 hours per week
Security: Active Baseline clearance required before commencement

Key Responsibilities

- Coordinate day-to-day project activities, schedules, meetings, milestones and administrative requirements.
- Maintain risks, issues, actions, decisions, dependencies and other key project registers.
- Track deliverables and proactively follow up outstanding actions with responsible stakeholders.




- Prepare status updates, briefing materials, presentations and governance reporting.
- Coordinate governance forums, workshops and project meetings, including agendas, minutes and actions.
- Maintain project records, templates, document repositories and version control standards.
- Consolidate project information from business, technology and delivery teams for executive reporting.
- Assist Project Managers with planning, scheduling, monitoring and delivery coordination.
- Liaise with internal stakeholders, technical specialists, vendors and subject-matter experts.
- Maintain Microsoft Teams, SharePoint and other project collaboration environments.
- Assist with procurement administration, contractor onboarding and resource coordination.
- Support project assurance, governance, audit and compliance activities.
- Maintain project information in accordance with Commonwealth security and recordkeeping requirements.
- Support Agile ceremonies and delivery tracking activities where applicable.
- Monitor upcoming milestones and dependencies and escalate potential delivery concerns.
- Identify opportunities to streamline administrative and project governance processes.
- Provide flexible support across the project team during periods of changing priorities or increased workload.

About You

You will bring strong project coordination skills, excellent attention to detail and the ability to communicate effectively across technical and non-technical stakeholder groups.

- Demonstrated project administration, coordination or PMO support experience.
- Previous exposure to ICT, digital transformation, technology or complex project environments.
- Strong organisation and time-management skills with the ability to prioritise competing activities.
- Experience maintaining project schedules, registers and governance documentation.
- Strong written and verbal communication skills.
- Experience preparing reports, meeting papers, minutes, presentations and executive updates.
- Strong Microsoft 365 capability, including Teams, SharePoint, Excel, Word and PowerPoint.
- Ability to establish productive relationships with stakeholders at different levels.
- Strong document management,



quality control and attention to detail.
- Understanding of project governance, risk and assurance processes.
- Exposure to Agile, Scrum, SAFe or other structured project methodologies is desirable.
- Australian Public Service or regulated-environment experience is highly regarded.
- Procurement, contractor onboarding or vendor coordination experience will be advantageous.
- Baseline security clearance must be active prior to commencement.
- Australian citizenship is required due to Commonwealth security clearance requirements.
