About the Role

We are seeking an organised and proactive Project Support Officer to join a significant Federal Government ICT and digital transformation initiative.
Working alongside Project Managers, program leadership and multidisciplinary delivery teams, you will provide hands-on coordination across project governance, scheduling, reporting, documentation, stakeholder activities and administration.

Location: Sydney, NSW
Working Arrangement: Hybrid
Start Date: ASAP
Duration: Until 30 June 2027
Hours: Up to 40 hours per week
Security: Active Baseline clearance required before commencement

Key Responsibilities

- Coordinate project activities, schedules, milestones, meetings and administrative requirements across multiple workstreams.
- Maintain project registers covering risks, issues, actions, decisions, dependencies and deliverables.
- Monitor outstanding actions and follow up with owners to support timely completion.
- Prepare project status reports, briefing materials,



presentations, governance papers and executive updates.
- Coordinate governance meetings and workshops, including agendas, papers, minutes and action tracking.
- Maintain accurate project documentation, records, templates and version control.
- Consolidate updates from business, technical and delivery stakeholders for program reporting.
- Support Project Managers with planning, scheduling, progress monitoring and delivery coordination.
- Coordinate stakeholder meetings across business areas, technical teams, vendors and subject-matter experts.
- Administer Microsoft Teams, SharePoint sites, shared repositories and project communication channels.
- Assist with contractor onboarding, procurement administration and associated project documentation.
- Support project assurance, audit, compliance and governance activities.
- Maintain accurate records in accordance with Commonwealth information management and security requirements.
- Assist with Agile ceremonies, delivery tracking and continuous improvement activities where required.
- Identify administrative or delivery process improvements that increase project efficiency.
- Support resource coordination and maintain visibility of upcoming milestones, dependencies and delivery priorities.
- Contribute positively to an integrated project team and respond effectively to changing priorities.

About You

You are a highly organised project support professional who can work confidently in a busy ICT or digital delivery environment.

- Demonstrated experience as a Project Support Officer, Project Coordinator, Project Administrator, PMO Officer or similar.
- Experience supporting ICT, technology, digital transformation or complex business projects.
- Strong organisational and time-management capability with experience balancing competing priorities.
- Demonstrated experience maintaining project schedules, action registers, risks, issues and dependencies.
- Strong written communication skills with experience preparing reports, briefs, minutes and presentations.
- Confidence working with Project Managers, senior stakeholders, technical specialists and multidisciplinary teams.
- Robust proficiency across Microsoft 365, particularly Teams, SharePoint, Word, Excel and PowerPoint.




- High attention to detail and confidence managing controlled project documentation.
- Understanding of project governance, assurance and reporting practices.
- Exposure to Agile, Scrum, SAFe or structured project delivery methodologies is highly regarded.
- Previous Australian Public Service, Federal Government or regulated-sector experience is desirable.
- Experience supporting procurement, onboarding or vendor administration will be advantageous.
- Baseline security clearance must be active prior to commencement.
- Australian citizenship is required due to Commonwealth security clearance requirements.
