Top Dog Pest Control & Property Inspections is a trusted, locally owned and family-operated business servicing the Gold Coast and Brisbane region for over 10 years. We're looking for an experienced, highly organised Administration & Booking Scheduler to join our small, hardworking team - full-time, in our Gold Coast office.

This is a genuinely busy, fast-paced role, and it is not entry-level. You'll be the first point of contact for our clients and the person keeping the daily schedule for our field technicians running smoothly. We need someone who already knows how to schedule a small team, follow a structured process, and keep pace from day one.

What you'll be doing:

n

n
- Scheduling and coordinating bookings for pest management, termite inspection and building and pest inspection services
n
- Managing daily job schedules for a small team of field technicians, including travel times, job durations, cancellations and urgent requests
n
- Adjusting the schedule throughout the day as required, and ensuring bookings are correct before they're assigned
n
- Managing bookings, confirmations and follow-up communication
n
- Updating and maintaining accurate customer records and job details in our systems
n




- Identifying missing information and resolving it proactively
n
- Handling emails, invoicing and general administrative tasks
n
- Answering phone, SMS and email enquiries professionally
n
- Following our established procedures and checklists consistently, and double-checking your own work
n

What you'll need (all essential):

n

n
- Proven experience scheduling or rostering a small team (trades, field services, healthcare, logistics, or similar)
n
- Exceptional attention to detail
n
- Ability to follow structured processes and checklists consistently
n
- Strong initiative - comfortable solving problems and making decisions without constant direction
n
- Comfortable with cloud-based systems; booking or job management software experience is a strong advantage
n
- Permanent work rights in Australia
n
