You’ll be part of a team responsible for delivering an exceptional student living experience, with a strong focus on front-of-house service, safety, communication, and community support. The Reception Officer plays a key role in creating a welcoming, well-organised, and secure environment for residents by managing daily reception operations, administrative duties, and student enquiries.

From greeting students and visitors with warmth and professionalism to assisting with check-ins, access management, and day-to-day queries, the Reception Officer upholds high standards of service and reliability. Your attention to detail, customer service skills, and proactive approach will directly impact the quality of life for students, helping to ensure their needs are met efficiently and with care.

This role requires strong interpersonal and organisational skills, adaptability, and a commitment to creating a positive, inclusive, and supportive environment where students can thrive. Working closely with our managers and the broader Journal team,



the Reception Officer helps uphold Journal’s reputation for excellence and resident satisfaction, ensuring an outstanding student living experience from the very first interaction.

KEY RESPONSIBILITIES

Customer Service

- Provide continuous support to residents, ensuring their needs are met promptly and professionally.

- Deliver exceptional customer service with a warm, friendly, and proactive approach.

- Maintain professionalism and engagement in all interactions with students, staff, and visitors.

- Assist with the delivery of the Journal Life program

Administrative Tasks

- Oversee check-in and check-out procedures to ensure a smooth resident experience.

- Perform various reception and administrative duties to facilitate daily operations.

- Complete all shift checklist items efficiently and accurately.

- Record and manage maintenance and facilities requests.

- Assist in debtor collection and weekly account management.

- Support regular communication with educational institutions regarding student activities.

- Assist in managing under-18 resident requirements, including curfews and guardian liaison.

- Coordinate visitor access in accordance with Journal policies.

- Ensure accurate data input and upkeep within the property management system.

- Contribute to communication through various facility platforms.

- Provide up-to-date referral services to residents as needed.

- Conduct incident reporting based on observations and interventions.

- Participate actively in training sessions for new and existing team members.





- Conduct room inspections and complete related administrative tasks.

- Manage mail and parcel distribution within the facility.

- Perform regular property walks and presentation checks.

Sales

- Drive sales and reservations, ensuring optimal occupancy levels.

- Conduct building tours and assist in cross-marketing efforts.

- Identify opportunities to generate ancillary revenue.

- Maintain a thorough knowledge of Journal’s products and services.

- Serve as a proud Journal Ambassador, representing the brand at open days, intake periods, and vacate processes.

- Assist with the administration behind the booking journey

Compliance

- Comply with all Journal policies, processes, and standard operating procedures (SOPs).

- Maintain up-to-date knowledge of operational and safety regulations relevant to the role.

SELECTION CRITERIA

Qualifications

- Secondary School Certificate.

- Customer service and/or administration qualifications are advantageous.

- Valid Working with Children Check.

- Ability to obtain a National Police Check.

Experience

- Strong background in customer service.

- Experience working both autonomously and within a team.

- Previous PBSA experience highly desirable.

- Proficiency in performing various administrative tasks.

- Exposure to reservations and sales processes.

- Familiarity with property management or booking systems is preferred.

Skills

- Strong time management and organizational abilities.

- Adaptability and flexibility in a dynamic environment.

- Excellent interpersonal skills, with the ability to relate to people from diverse backgrounds, particularly young adults.

- Effective problem-solving and analytical skills.

- Proficiency in Microsoft Excel, Word, Teams, and other relevant software applications.
