Key Responsibilities
n
n
Coordinate and book staff travel, accommodation and related arrangements.
n
Develop,
format, review and maintain professional documents, reports, presentations, forms and correspondence.
n
Assist with reviewing, administering and filing contracts, agreements and supporting documents.
n
Prepare meeting agendas and supporting documents.
n
Attend meetings where required and record accurate meeting minutes, decisions and action items.
n
Monitor deadlines and follow up outstanding actions.
n
Maintain organised electronic records, document registers and shared filing systems.
n
Provide administrative support across workforce development, training and stakeholder engagement activities.
n
Liaise professionally with care providers, training organisations, industry partners and other stakeholders.
n
Assist with organising meetings, information sessions, workshops and events.
n
Identify opportunities to improve administrative systems, processes and templates.
n
Provide general office and project administration support as required.
n

Skills and Experience
n
n
Previous experience in a senior administration, office coordination, executive support or similar role.
n
A sound understanding of the aged care sector, disability support sector or broader community services workplace.
n
Strong written communication, proofreading and document-development skills.
n
Excellent organisational and time-management skills.
n
The ability to manage multiple priorities and meet deadlines.
n
Experience preparing meeting agendas, minutes and action registers.
n
Confidence reviewing contracts, agreements and formal business documents.
n
Strong attention to detail and accuracy.
n
The ability to work independently, use initiative and take ownership of tasks.
n
Professional presentation and communication skills.
n
Confidence using Microsoft Office, Google Workspace and other online business systems.
n
The ability to manage confidential and sensitive information appropriately.
n

Experience working within aged care, disability support, community services, training or workforce development.
n
Experience supporting government-funded programs or projects.
n
Knowledge of registered training organisations or the vocational education and training sector.
n
Experience using customer relationship management, project management or document management systems.
