FAST Emergency Care Clinic is seeking an experienced and highly organised Practice Manager to lead the day-to-day operations of our clinic.
n
This is a key leadership position responsible for ensuring the clinic operates efficiently, professionally and consistently. Working closely with the Nursing Lead and Directors, you will oversee reception, administration, non-clinical staff coordination, patient services and operational systems while helping establish a positive and high-performing workplace culture.

Key responsibilities
n
Leading, supporting and developing the reception team and overseeing front-of-house operations
n
Ensuring appointments, patient records and enquiries are managed efficiently while maintaining an excellent patient experience
n
Overseeing administrative systems and ensuring compliance with relevant healthcare, privacy, accreditation and licensing requirements
n
Managing day-to-day financial administration, including billing, invoicing, payments, debt collection, payroll processing and reporting against budgets
n
Coordinating non-clinical staffing, rostering and leave, and working alongside the Nursing Lead on broader staffing requirements
n
Processing payroll based on approved rosters and timesheets
n
Managing facility maintenance, non-clinical inventory, equipment servicing and cleaning arrangements
n
Acting as the first point of contact for patient feedback and complaints and managing matters professionally and appropriately
n
Liaising with suppliers, service providers and other external stakeholders on operational matters
n
Monitoring operational performance and identifying opportunities to improve systems,
processes and patient experience
n
Supporting the Directors with operational projects, reporting and administration as required
n
About you
n
You'll be an experienced healthcare administrator or Practice Manager who is comfortable taking responsibility for the day-to-day running of a busy clinic.
n
You'll be a calm and capable leader who can support your team while maintaining clear expectations and high standards. You'll be equally comfortable solving an immediate operational issue, reviewing a process, dealing with a patient concern or ensuring the numbers and administration are accurate.

You'll bring:
n
n
Proven experience as a Practice Manager or senior administrator within a healthcare setting
n
Demonstrated experience leading, supporting and motivating staff
n
Excellent organisational and time-management skills, with the ability to manage competing priorities
n
Strong financial administration skills, including billing, payroll, bookkeeping and budget monitoring
n
Excellent written and verbal communication and strong interpersonal skills
n
Sound knowledge of Australian healthcare, privacy and compliance requirements
n
Strong attention to detail and accuracy in financial, administrative and patient records
n
Confidence using technology and practice administration systems
n
A proactive, solutions-focused approach and willingness to take ownership of operational issues
n
The ability to work collaboratively with clinical leaders, Directors and the broader clinic team
n
Qualifications in healthcare administration, business or management will be highly regarded, as will experience with Best Practice/BP Premier or similar practice management software.
n
Experience working in an urgent care, emergency or other high-throughput healthcare environment would also be advantageous.
n
