About the role:
n
As a Reporting and Correspondence Officer you willplay a critical role in ensuring accurate, timely, and high-quality reporting and correspondence across the organisation.
n
This position supports manages reporting schedules and coordinates responses to internal and external stakeholders. It requires a high level of attention to detail, excellent organisational and time management skills and highly developed written communication abilities.
n
This is a full time, site-based position at our Canberra office.
n
Key responsibilities:
n
n
Prepare, edit and coordinate contractual reporting and updates, as well as corporate and Secure Journeys Senior Leadership team updates
n
Liaise with internal teams and subcontractors to gather accurate data and meet reporting deadlines
n
Manage the receipt, registration, allocation, and tracking of IDN Leadership, Department and broader stakeholder correspondence
n
Draft, proofread, and review written correspondence to ensure clarity and accuracy
n
Provide secretariat support to the Senior Contract Director and IDN Leadership team
n
Maintain correspondence and reporting registers
n
Maintain templates, registers and style guides to support consistent reporting practices
n
Monitor reporting schedules and ensure timely delivery of reports
n
n
Key experience:
n
n
High level of professionalism, discretion, and judgement in handling sensitive information and correspondence.
n
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other reporting tools, with the ability to adapt to new systems quickly.
n
Tertiary qualifications in Business Administration, Communications, or a related field (preferred)
n
Demonstrated experience in preparing, editing, and coordinating contractual and corporate reports, with the ability to meet strict deadlines and ensure accuracy.
n
Robust stakeholder management skills, with proven ability to liaise effectively with internal teams and subcontractors to gather and validate data.
n
Excellent attention to detail and analytical skills to identify and resolve data discrepancies before submission.
n
Proficiency in maintaining templates, registers, and style guides to support consistent reporting practices across the organisation.
n
Highly developed written communication skills, including drafting, proofreading, and reviewing correspondence to ensure clarity, consistency, and alignment with organisational values.
n
Experience managing correspondence processes, including receipt, registration, allocation, and tracking, with the ability to elevate sensitive matters appropriately.
n
