Phibion is expanding and with growth comes new opportunities. We are seeking a Human Resources Coordinator/Office Administrator to help us though this growth stage.
n
The Human Resources Coordinator / Office Administrator is a key support role responsible for assisting the Global Human Resources Manager in the delivery of all aspects of the employee lifecycle whilst ensuring the efficient day-to-day operation of the Brisbane office.
n
This role combines Human Resources coordination and generalist responsibilities with office administration, travel coordination, and facilities management functions. The successful candidate will play a critical role in supporting a geographically dispersed workforce within the mining and mining services industry, ensuring a professional employee experience and an efficient working workplace.
n
The position requires a proactive, highly organised, and service-oriented professional who can effectively manage confidential information, coordinate multiple priorities, and build strong relationships with employees, management, and external service providers
n
This position is Part-Time, 25 hours (expanding over 4-5 days) a week and working hours are flexible. This is an ideal position for someone caring for school aged kids.
n
Phibion is offering the equivalent of a part-time position salary of $56,000 to the ideal candidate.
n
Main Key areas are:
n
Human Resources Support
n
Support the Global Human Resources Manager in all aspects of the employee lifecycle, including:
n
n
Recruitment and selection activities, including advertising vacancies, coordinating interviews, reference checking, and preparing employment documentation.
n
New employee onboarding and induction coordination.
n
Employee records management and maintenance of HRIS systems.
n
Preparation of employment contracts, contract variations, and HR correspondence.
n
Administration of probation reviews and performance management processes.
n
Coordination of employee training and development activities.
n
Monitoring mandatory licences, certifications,
and training requirements.
n
Supporting employee engagement initiatives and company communications.
n
Assisting with policy development, implementation, and updates.
n
Coordinating performance review processes.
n
Assisting with disciplinary and grievance processes as required.
n
Supporting remuneration reviews and benefits administration.
n
Providing general HR advice and support to employees and managers.
n
Assisting with compliance with employment legislation, Fair Work requirements, and company policies.
n
Workers Compensation, liaising with Insurance providers and WorkCover, including Return to work program.
n
Supporting international HR activities across multiple jurisdictions as required.
n
n
Travel Coordination
n
Coordinate domestic and international travel arrangements for field-based and office personnel, including:
n
n
Flight bookings.
n
Accommodation arrangements.
n
Vehicle hire and transport logistics.
n
Visa and travel documentation requirements where applicable.
n
Travel itineraries and employee travel communications.
n
Management of travel booking platforms and corporate travel providers.
n
Monitoring travel schedules and supporting changes when operational requirements arise.
n
Ensuring travel arrangements comply with company policies and client requirements.
n
n
Office Administration
n
Manage the day-to-day administration and operation of the Brisbane office, including:
n
n
Maintaining a professional, safe, and efficient office environment.
n
Liaising with cleaning contractors and building management.
n
Coordinating office maintenance and repairs.
n
Managing office access, keys, and security requirements.
n
Ordering and maintaining office stationery and supplies.
n
Ordering and maintaining kitchen and staff amenities supplies.
n
Coordinating courier and mail services.
n
Supporting meeting room bookings and office events.
n
n
Catering and Event Coordination
n
Organise catering for meetings, training sessions, workshops, and corporate events.
n
n
Coordinate internal functions and employee engagement activities.
n
Assist with company events, conferences, and management meetings.
n
Liaise with suppliers to ensure high-quality service delivery within budget.
n
n
Administration and Reporting
n
Prepare HR reports and workforce data as requested.
n
Maintain accurate personnel and administrative records.
n
Assist with document control and filing systems.
n
Support payroll administration activities and provide information to payroll providers as required.
n
Maintain confidentiality of all employees and company information.
n
Assist with special projects and continuous improvement initiatives
n
Skills and Experience
n
Minimum 3-5 years' experience in a Human Resources Generalist role.
n
Experience supporting the full employee lifecycle.
n
Experience coordinating travel and administration activities.
n
Strong knowledge of Australian employment legislation and Fair Work requirements.
n
Excellent organisational and multitasking abilities.
n
Strong written and verbal communication skills.
n
Advanced Microsoft Office skills, including Outlook, Excel, Word, and Teams.
n
Ability to handle confidential information with discretion and professionalism.
n
Strong attention to detail and accuracy.
n
Ability to work autonomously and manage multiple competing priorities.
n
Tertiary qualification in Human Resources, Business, or a related discipline.
n
Experience within the mining, resources, construction, or industrial services sectors.
n
Exposure to international workforces and multi-country HR administration.
n
Experience using HRIS and recruitment systems.
n
Experience liaising with outsourced payroll providers.
n
