The Recruitment, Onboarding & Engagement Advisor owns the end-to-end candidate and new-starter experience at Your Reformer – from attracting and hiring outstanding people, through to onboarding, induction and early engagement. This role is the day-to-day engine room of talent acquisition and employee engagement, working closely with hiring managers and the People & Culture Manager to ensure the business hires well, onboards smoothly, and keeps people engaged and connected.

As Your Reformer scales, this role is also expected to actively use and champion AI-enabled recruitment and HR tools (e.g. AI-assisted sourcing, screening, job ad drafting, interview scheduling, and onboarding workflows) to keep the recruitment and onboarding function efficient and scalable without a proportional increase in headcount.

We are looking for someone who is available to work full time on a hybrid set up out of our Mornington HQ!

Responsibilities
n
Recruitment
n
n
Manage end-to-end recruitment across Australia (EMEA and the US, as required), including job ads,
screening applicants, interviewing, pre-employment checks and activities, and making formal offers to successful candidates.
n
Consult with hiring managers to discover staffing requirements, define job objectives, and build accurate, compelling job descriptions.
n
Use and continuously improve AI-enabled sourcing and screening tools to shortlist candidates faster and more consistently, reducing manual time-to-hire.
n
Collaborate with finance and the People & Culture Manager on salary benchmarking and role scoping.
n
Build and maintain a pipeline of quality candidates for recurring or hard-to-fill roles, including proactive talent pooling.
n
Own employer branding activity for recruitment (careers page content, job ad tone, candidate communications) in line with Your Reformer's culture and values.
n
Maintain accurate recruitment records, reporting, and metrics (e.g. time-to-hire, source of hire, offer-acceptance rate) in the ATS/HRIS.
n

Onboarding
n
n
Design, coordinate and continuously improve the onboarding and induction experience for all new starters, including pre-boarding, first-day logistics, and structured check-ins (e.g. ******** day).
n
Partner with hiring managers to ensure new starters have the tools, access, training plans and support needed to succeed quickly.
n
Maintain onboarding documentation, checklists and systems, using automation/AI tools where possible to reduce manual administration (e.g. auto-generated welcome packs, scheduled check-in prompts).
n
Track onboarding completion and early-tenure feedback, flagging risks or improvement opportunities to the People & Culture Manager.
n

Engagement
n
n
Support the coordination and delivery of employee engagement initiatives, culture events, and internal communications, in partnership with the People & Culture Manager.
n
Administer engagement surveys/pulse checks, help consolidate results, and support action planning with leaders.
n
Coordinate reward and recognition activities at a program level (e.g. nominations, milestones, celebrations),
working within the framework set by the People & Culture Manager.
n
Act as a visible, approachable point of contact for new and existing employees on onboarding and engagement matters.
n

Systems, Reporting & Continuous Improvement
n
n
Maintain HRIS/ATS records (Employment Hero for AU and Trinet for US) relating to recruitment and onboarding, ensuring accurate and timely data.
n
Provide weekly, monthly and ad hoc reporting on recruitment, onboarding and engagement metrics.
n
Proactively identify opportunities to automate or simplify recruitment, onboarding and engagement processes using AI and other tools, supporting the business's goal of scaling the People & Culture function efficiently as headcount grows.
n
Maintain all related administrative tasks as necessary.
n
Any other tasks as directed by your manager.
n

Skills & Qualifications
n
n
3–5 years' experience in an in-house recruitment, talent acquisition, or HR generalist role with a strong
recruitment/onboarding
focus.
n
Demonstrated experience managing end-to-end recruitment processes, ideally across multiple roles/functions simultaneously.
n
Practical, hands-on experience with (or robust aptitude for) AI-enabled recruitment tools – e.g. AI
sourcing/screening,
AI-assisted job ad or communications drafting, automation of scheduling and admin tasks.
n
Confidence using an ATS and HRIS (Employment Hero highly regarded); strong general systems literacy.
n
Experience designing or coordinating onboarding programs and/or employee engagement initiatives is highly regarded.
n
Qualifications in Human Resources, Psychology or a related field is desirable.
n
Working knowledge of Australian employment law and Modern Awards (retail industry experience advantageous); US exposure a plus.
n
Excellent interpersonal and communication skills, with the ability to build trust quickly with candidates, new starters and hiring managers.
n
Strong organisational skills with the ability to manage multiple concurrent recruitment and onboarding processes in a fast-paced environment.
n
A proactive, solutions-focused mindset and genuine curiosity about using technology and AI to work smarter.
n
