The role
n
This is not a junior admin job. We're after an experienced, switched-on Operations Coordinator to run the engine room of our office — someone who can take a job from the moment it lands to the moment it's invoiced, and keep our field team moving in between.

Reporting to our HR & Accounts and Office Managers, you'll:
n
Process incoming work orders and bookings
n
Coordinate and schedule our technicians, keeping every job flowing start to finish
n
Prepare quotes, raise invoices, and follow up outstanding accounts
n
Nurture our key client relationships — property managers, insurance builders, supervisors and builders
n
Build new client relationships
n
Coordinate site access with customers
n
Support marketing and client follow-ups
n
After sales follow ups and client retention
n
Answer the phones and keep customers informed
n
Solve problems on your feet — we want someone who thinks, not someone who asks
n
About you
n
Ideally 5+ years in a busy admin or coordination role — a trade or construction background is a big plus, but if you're sharp and learn fast, we're open
n
Confident, calm and organised when things get hectic — our office moves rapid with a lot of balls in the air
n
Genuinely capable with systems — ServiceM8, Xero and Google Workspace, and comfortable using AI tools like Claude and ChatGPT (or keen to learn)
n
A natural problem-solver who takes ownership and runs with things
n
A strong, honest communicator
n
Current driver's licence
