About the role Groote Archipelago Regional Council is seeking a Procurement and Administration Officer to join our team on a full time basis. Based in Darwin, NT 0800, this role is fundamental to supporting the efficient operation of our organisation through effective procurement management and administrative coordination.
You will play a vital part in ensuring our procurement processes are streamlined, compliant and cost-effective, whilst providing essential administrative support to the Executives and the Corporate Office.

Key responsibilities

Manage end-to-end procurement activities, including preparing specifications, issuing tender documentation and coordinating supplier quotations.
Maintain accurate and compliant procurement records in accordance with Council policies, procedures and regulatory requirements.
Process purchase orders, invoices and payment documentation accurately and efficiently.
Liaise with suppliers and internal stakeholders to support the timely delivery of goods and services.
Provide comprehensive administrative support, including scheduling, correspondence and record management.
Assist with meeting preparation, minute-taking and the coordination of follow-up actions.
Maintain filing systems, databases and administrative records to ensure information is accurate, organised and easily accessible.
Assist with budget monitoring, expenditure tracking and financial reporting as required.

Respond to general enquiries and provide timely administrative support to employees across Council.

What we're looking for

Proven experience in a procurement, administrative or office support role, ideally within a public sector, local government or regional organisation





Strong organisational and time management skills with the ability to manage multiple priorities and meet deadlines

Excellent written and verbal communication skills, with the ability to liaise professionally with internal and external stakeholders
Proficiency in Microsoft Office applications, including Word, Excel and Outlook, and experience with database management systems
Attention to detail and accuracy in record keeping, documentation and financial processing
Knowledge of procurement principles, policies and best practice procedures

Ability to work independently and as part of a team in a collaborative environment

Certificate IV or Diploma in Procurement, Contract Management, Business Administration or a
related discipline OR demonstrated equivalent experience in procurement and contract

administration.
