WHAT YOU'LL BE DOING
As the Workplace Experience Coordinator, you will provide professional, welcoming and responsive experience for all staff, guests, visitors, contractors and trades accessing the workplace.

You will:

- Act as a key point of contact for workplace, facilities and office related enquiries, responding promptly, resolving or escalating matters where appropriate
- Coordinate visitor management, workplace access, workplace inductions and office concierge activities
- Support staff onboarding and offboarding including workplace access, workspace set up, asset management, facilities information and relevant workplace inductions
- Provide high-quality administrative and coordination support, including records management, correspondence, scheduling, shared inbox management and documentation
- Coordinate meetings, office services, room bookings, appointments, deliveries, mail, couriers, workplace supplies and procurement activities
- Maintain accurate records, registers, logs, schedules and documentation
- Assist with purchasing, ordering and replenishment of office, kitchen and workplace

- Support the effective day-to-day operation, presentation, safety and functionality of the office and associated facilities
- Coordinate routine and ad-hoc maintenance activities, working closely with trades, contractors, suppliers and service providers
- Monitor, report and follow up on workplace facilities, presentation, cleanliness, functionality and general maintenance requirements, reporting issues to support timely resolution
- Assist with workplace health, safety and emergency preparedness activities, including inspections, incident reporting, evacuation support and management and follow-up activities as required
- Build and maintain positive working relationships with staff, contractors, suppliers and external stakeholders upholding Coal LSL’s TORCH values at all times
- Support workplace projects, events, office moves, improvements and business initiatives as required

This is a permanent, office-based role located in Newcastle.

WHAT YOU'LL BRING
To be successful in the role of Workplace Experience Coordinator, you'll be passionate about delivering exceptional customer service and creating positive experiences for staff, visitors, contractors, and service providers. You'll bring a positive, hands-on approach and enjoy supporting a variety of workplace activities, from facilities and administration to supporting with catering, and helping create a welcoming and well-organised environment.

Your background will demonstrate your:

- Strong administrative and organisational skills, with a high level of accuracy and exceptional attention to detail
- Excellent interpersonal, written and verbal communication skills, with the ability to build rapport and develop positive working relationships with a diverse range of stakeholders including; staff, guests, visitors, contractors and external stakeholders




- Willingness to provide hands-on support across workplace facilities and kitchens, helping maintain a safe, clean and well-presented environment for staff and visitors
- Positive customer service mindset and a genuine desire to provide an exceptional workplace experience
- Proven ability to manage multiple priorities, take ownership, use initiative and work independently to deliver high-quality outcomes
- Ability to identify issues, apply practical solutions and appropriately escalate workplace hazards, incidents, maintenance and safety concerns where necessary
- Capability in coordinating onboarding, offboarding, workplace access, inductions or facilities support is desirable
- Robust computer literacy and ability to learn and confidently use new systems and technology
- Growth mindset with a willingness to learn new skills, embrace new processes and take on additional responsibilities
