The Administration Officer provides day-to-day administrative, client service and workflow support to the TCA team. The position is particularly suited to someone who is tech minded, highly organised, confident communicating with clients, comfortable working across multiple software systems and able to follow established procedures with a high level of accuracy. The role does not require the employee to provide taxation or accounting advice. Technical client enquiries are to be referred to the appropriate accountant.
Key responsibilities
- Manage incoming calls and direct enquiries to the appropriate personnel
- Respond to general and non-technical client enquiries
- Monitor and assist with allocated client email correspondence
- Follow up outstanding client enquiries and information requests
- Contact clients on behalf of accountants to request information or relay messages
- Maintain professional, courteous and timely communication with clients
- Schedule and re-schedule appointments for clients
- Create and maintain client tasks within TCA's workflow management systems
- Undertake data entry and administrative tasks requested by senior staff
- Assist with preparation and maintenance of internal procedures, templates and guides

Essential Criteria
- Digital specialist – tech savvy and willing to optimise internal processes and use AI tools
- Previous experience in administration, reception, office support or a similar role
- Strong Microsoft Office and/or Google Workspace skills
- Demonstrated experience working with electronic document management and business software
- Strong written English and professional telephone communication skills
Desirable
- Experience within an accounting, bookkeeping or other professional services workplace
- Experience with Xero, Xero Practice Manager (XPM), Practise Ignition, Teamwork Projects, or Google Workspace
