Customer Service & Order Administration Specialist | Apparel & Branding
Some customer service jobs are mostly about answering questions.
This isn't one of them.
At House of Uniforms, our Customer Service team sits right in the middle of a busy apparel and custom branding business. We supply uniforms, clothing, headwear and branded merchandise to businesses, clubs, schools and teams across Australia.
Every day brings hundreds of moving pieces: orders, quotes, artwork, product choices, sizing, colours, branding methods, stock, customer questions and deadlines.
We're looking for someone who is very good at keeping those pieces aligned and moving.
You’ll need to read information carefully, pick up the details, work out what's missing, make sensible decisions and get things done without turning every small task into a major project.
If you're the kind of person who notices the one incorrect detail in a page full of information, fixes it and moves onto the next thing, we want to hear from you.
Full Time | In Office Moorabbin | Monday–Friday | 8am - 4.30pm
In conjunction with the rest of the CS team, you'll be,
- Processing customer quotes and orders accurately through our ERP system
- Reviewing orders and making sure everything required for the next step is sorted
- Preparing quotes for customers including custom branding
- Responding to a high volume of customer enquiries by email and phone
- Helping customers select suitable garments, products and branding options
- Reading customer requests carefully and help to keep them progressing to the next step
- Following up customers for the information needed to progress their order or quote
- Resolving returns, exchanges, order queries and the occasional curly problem
- Communicating clearly with customers when something isn't possible, while helping them find the best solution
- Keeping accurate notes and records so the next person in the chain can immediately understand what's happening
- Working with our production, artwork and warehouse teams to keep orders moving
- Helping with general office and showroom admin
The person we’re looking for
Your previous job title isn’t particularly important to us.
You might currently work in administration, customer service, retail, ecommerce, order processing,
sales support or something completely different.
What matters more is how you think and how you approach your work.
You’ll be someone who:
- Reads instructions properly, including the second paragraph
- Has excellent written communication and reading comprehension
- Notices inconsistencies and asks questions when something doesn’t make sense
- Can absorb a lot of information without losing the important details
- Works quickly but doesn’t confuse “fast” with “rushed”
- Makes sensible decisions and keeps tasks moving rather than overthinking every step
- Can distinguish between information that’s important and information that’s not
- Takes ownership of tasks
- Can prioritise when five things need attention at once
- Is comfortable giving customers clear answers, even when the answer isn’t necessarily the one they were hoping for
- Likes systems and processes and understands why following them matters
- Can learn a large product range (over time of course)
- Communicates confidently and professionally with customers
- Is comfortable working in a genuinely busy environment
Experience that would be useful
Experience with any of the following would be a bonus, but isn’t essential:
- Apparel, fashion, uniforms or promotional products
- Order processing or sales administration
- Shopify or ecommerce
- NetSuite, Oracle or another ERP system
- Freshdesk, Zendesk or another customer service platform
- Preparing quotes for customised products
- Adobe Illustrator or Photoshop
We can teach products. We can teach software. We can teach branding.
What is much harder to teach is attention to detail, pace, judgement, ownership, common sense and knowing when you have enough information to make a decision and move forward.
We need you to arrive with those bits already installed!
What it’s like working here
We’re an established Australian business (operating since 2004)
with an experienced team and a lot happening every day.
This is not a quiet reception style customer service role where you’re hanging around waiting for the phone to ring. There will be hundreds of emails to answer, orders to process, quotes to prepare, customers to help and problems to solve.
Volume is part of the job. You’ll often have multiple things competing for your attention, so being able to prioritise, make decisions and fully complete tasks efficiently is key.
We don’t expect someone new to know everything on day one.
But we do expect them to keep learning, become increasingly independent and get faster as their knowledge grows.
If you enjoy being busy, working things out and reaching the end of the day knowing you’ve actually accomplished something, you’ll enjoy it here.
You’ll also get:
- A stable full time Monday–Friday position
- Full training in our products, systems and branding processes
- Free street parking
- Public transport nearby
- Staff discounts
- A varied role with plenty to learn
- An experienced team around you when you need help
About that cover letter…
Yes, we actually read them. In fact, your cover letter is part of the application and it’s the very first thing we read (and often the last).
We’re looking for people who can read carefully, communicate clearly and pay attention to detail, so this is your first opportunity to tell us something about you.
Tell us :
Why does this particular role appeal to you? Tell us about a time at work when you had to make a decision without having someone tell you exactly what to do. What did you do?
It doesn't need to sound corporate. We’d much rather hear a genuine answer than three paragraphs about being a “highly motivated individual with excellent communication skills, who’s also a team player but can work on their own.”
Applications without a cover letter won't progress. Generic copy and paste cover letters won't either.
If your letter tells us how excited you are to join… a completely different company… well, you’ve answered the attention to detail question for us.
If you’re organised, switched on, decisive and enjoy figuring things out, we’d love to hear from you.
