Active OT For Kids

Waverley Council

Are you an organised, warm and compassionate person who genuinely enjoys making a difference?

Do you thrive in a role where you can work efficiently, connect meaningfully with families, and contribute to a team that is committed to the wellbeing and development of children?

At Active OT for Kids, we are looking for an exceptional human to join our team as our Front Desk Administrator, working alongside our Administrative Manager, Emily.

This is more than a reception role. We are looking for someone who wants to invest in their work with meaning, purpose and care — someone who takes pride in creating a welcoming environment and helping our team, children and families feel supported.

Does this sound like you?

You work quickly, efficiently and with attention to detail.

You are warm, approachable and compassionate.

You take pride in completing tasks in an organised and professional way.

You have exceptional communication skills — in person, on the phone and in writing.

You value playfulness and understand the importance of connection in supporting children's development.

You are computer savvy and confident with scheduling, Macs and spreadsheets.

You enjoy multitasking and can calmly prioritise competing demands.

You are looking for a fulfilling role that respects family, wellbeing and life outside of work.

You want to be part of a team committed to wellness, healing and personal growth.

You are looking for long-term stability and want to become a valued member of a community.

If this resonates, we'd love to hear from you.

Your Role

As our Front Desk Administrator, you will play an important role in creating a positive experience for children, families and our allied health team.

Your responsibilities will include:

- Greeting children and families and helping them feel welcome and comfortable.
- Answering phone enquiries, actioning referrals and booking appointments.
- Taking and receipting payments.
- Coordinating schedules for 8 allied health professionals.
- Keeping the reception area organised, welcoming and running smoothly.
- Completing start-of-day and end-of-day procedures.
- Booking and processing payments for intensive programmes.
- Coordinating collaborative appointments with schools and our allied health team.
- Reading and responding to email correspondence and actioning bookings.
- Taking information and coordinating assessments and appointments.
- Supporting the day-to-day administration of a busy and collaborative practice.
- Being an active, curious and dedicated member of our team.

We Are Looking For

We are looking for someone who displays:

Medical reception or allied health administration experience is beneficial, but we are equally interested in finding the right person and the right fit for our team.

This role may be particularly suited to a parent returning to work who is looking for meaningful, stable and family-friendly employment.

Permanent Australian residents seeking long-term employment only.
