Business Support and Compliance Coordinator

About the role

This position plays a pivotal role in ensuring smooth operational, compliance and project performance across the organisation. It is responsible for overseeing day-to-day facilities, fleet and IT operations, while delivering robust support in project and contract management, compliance monitoring, and asset control.

Key responsibilities

- Coordinate and support the implementation, delivery and evaluation of business support services to align with operational needs while adhering to budget.
- Oversee the management of the vehicle fleet, including organising service schedules, maintenance and repairs in a timely manner, and annual insurance renewals.
- Coordinate office facilities management within allocated budgets, including oversight of contractors and equipment servicing.
- Maintain an accurate asset register for all corporate and project-related assets,



ensuring appropriate asset tagging for identification and reporting.
- Assist with the development of project applications, ensuring accurate budgeting and compliance with corporate document requirements.
- Coordinate the preparation and execution of project investment contracts and outgoing project contracts.
- Maintain an accurate contracts register covering all organisational contracts and funding agreements.
- Monitor project milestones, reporting schedules and contractual obligations, collaborating with Program Managers and Financial Controller to ensure all compliance requirements are met.
- Support organisational compliance with funding agreements and internal policies while contributing to risk monitoring and continuous improvement initiatives.
- Lead, motivate and develop direct reports by setting clear operational expectations, fostering an inclusive and collaborative environment, and leading by example.

About you

- Certificate IV or diploma in Business Administration or related discipline.
- Minimum two years' experience in a similar role.
- Ability in effective planning, delivery, monitoring and project reporting.
- Competent in project budget creation and monitoring actuals to budgets.
- Strong project management skills, with the ability to forward plan, develop and maintain systems to ensure all project deadlines, payments and reporting are met.
- Ability to manage suppliers and contractors to ensure contractual obligations meet expectations.
- Ability to build and maintain effective, collaborative working relationships with colleagues, management, external contractors and stakeholders.
- Excellent written and verbal communication skills, with the ability to convey compliance, financial, and contractual requirements clearly to diverse stakeholders.
- Robust negotiation and problem-solving skills, with the ability to manage contractor performance, resolve operational issues and escalating risks with diplomacy and tact.
- Valid Blue Card
- Valid "C" Class Driver's License
