About the role
We are looking for an Accounting Assistant to provide part-time administrative support to our international finance function, based in our Melbourne office.
This is a broad, hands-on role rather than a narrow one. Accounts payable and receivable make up the bulk of your week, but you will also help compile records for the annual financial statement audit, support fortnightly payroll, and look after corporate credit cards and insurance renewals. You will work closely with our US-based accounting team on payment queries, so you will see how a global finance function fits together.
Reporting to the International Director of Finance, you will be trusted with sensitive payroll and financial data and given the room to own your part of the process. The hours are genuinely part-time — 20 to 25 hours a week across four days, with the specific days and hours agreed with your manager. This role is based in our Melbourne office.
What you'll do
Accounts payable and receivable
- Process and submit supplier invoices for payment in line with accounts payable procedures, and maintain accurate records and supporting documentation
- Liaise with our US-based accounting team on payment queries
- Prepare and issue monthly customer statements, and support customer billing and invoicing
- Follow up outstanding invoices and accounts overdue by more than 30 days, escalating where debts are not being paid
- Assist with vendor and account reconciliations, monthly BAS reporting, and annual tax reconciliations
Financial and audit support
- Pull together accounting records and supporting documentation requested by the external auditors for the annual financial statement audit
- Provide general finance administration support and assist with ad hoc reporting and tasks
- Attend to incoming and outgoing finance enquiries by phone and email
Payroll support
- Collate payroll inputs and maintain the Payroll Adjustments spreadsheet, submitting to Employment Hero by the fortnightly deadline
- Review pay run and superannuation reports, resolve discrepancies, and reconcile monthly superannuation contributions across all staff
- Ensure payroll-related Workday records are entered and reconciled to support end-of-month processing
- Support the annual salary review process and assist with local payroll third party payments, including PAYG, superannuation, and payroll tax
Corporate services
- Manage corporate credit card back-office requirements and maintain relationships with key stakeholders
- Manage Workers Compensation, corporate travel, and other local insurance renewals, reviewing required cover regularly
- Attend to employee finance, accounts, and payroll related queries
About you
You are methodical, accurate, and discreet. You like knowing your work is right before it goes out the door, and you are comfortable holding a few deadlines at once — fortnightly payroll, month-end payables, and an audit request can all land in the same week. You are happy working across a couple of different systems and confident picking up new ones.
You'll bring:
- A sound understanding of accounts payable, receivable and payroll functions,
ideally gained in a bookkeeping or accounting support role
- A high level of accuracy, numeracy, and attention to detail when handling financial and payroll data
- Discretion and confidentiality when managing sensitive payroll and HR information
- The ability to learn and work confidently across multiple systems — we use Workday and Employment Hero
- Sound knowledge and experience using MS Office
- Transparent and concise written and verbal communication, and confidence dealing with suppliers, customers, auditors, and banks
- The ability to prioritise and stay calm and in control through busy periods
- A collaborative approach — you keep your manager informed and share what you know with the team
Highly desirable
- Experience with BAS reporting and annual tax reconciliations
- Hands-on experience with Employment Hero or Workday
- Familiarity with CRM software and/or Zendesk
