The Australian Music Association (AMA) is looking for an organised, adaptable and digitally confident person to join our small team as an Administration & Operations Officer.
This is a varied role working across the day-to-day operations of a national music industry association, including financial administration, membership, projects and events, and our digital systems.
We don't expect one person to arrive with experience in every aspect of the role. We're looking for someone with strong administrative capability, experience in at least one relevant area, and the confidence and willingness to learn and work across the others.
The position is fully remote and offers genuine flexibility. It may particularly suit someone combining the role with another part-time position, a portfolio career in the music industry, running a small business, study, parenting or caring responsibilities, or semi-retirement.
The role
Reporting to the CEO and working with other members of our small team, you will help keep the AMA's administration and operations running smoothly. The role covers a broad range of activities, but the administrative workload within each area is relatively modest. The balance of work will vary throughout the year depending on our projects and events. This is a new 0.2 FTE position that adds dedicated administrative capacity to work currently shared across our existing team.
Your work will be varied and may include:
- Financial administration – day-to-day Xero processes such as accounts payable and receivable, reconciliations, and preparing payments and payroll for approval.
- Membership administration – maintaining records, responding to enquiries, updating the member directory, and supporting member engagement and follow-up.
- Project and event administration – supporting the administrative processes associated with our grants, events and other projects.
- Digital systems and general operations – maintaining information across our business systems and assisting with records, suppliers, reporting and other organisational administration.
At different times the focus might be processing accounts, administering a funding round, updating membership records or supporting an upcoming event.
The role may also include additional paid work at AMA events, particularly the Guitar Shows, depending on your location, availability and interests.
About you
You will be comfortable working independently in a remote environment and taking responsibility for getting administrative processes completed accurately and on time. You'll need good judgement, including knowing when something needs attention or should be referred to someone else. Technology is an important part of how we work. You don't need experience with our particular systems, but you should be confident learning and using a range of digital platforms, cloud-based systems and AI tools, and willing to adopt new ways of working as technology develops.
Essential
- Excellent organisational, administrative and communication skills.
- A high level of accuracy and attention to detail.
- Ability to work independently, organise your workload and manage competing priorities.
- Valuable judgement and the ability to take responsibility for administrative processes, including recognising when an issue requires attention or escalation.
- Confidence learning and using a wide range of digital platforms, cloud-based systems and AI tools.
- A natural communicator (both written and verbal) who enjoys building rapport with a diverse range of individuals.
Demonstrated experience in at least one of the following areas, together with the willingness and ability to work across all aspects of the role:
- financial administration;
- CRM, databases or business systems;
- project or event administration;
- membership administration.
Desirable
- Experience with Xero or similar cloud-based accounting software.
- Experience using CRM, database or business management platforms.
- Experience maintaining websites using a content management system.
- Experience with cloud-based business applications,
workflow automation and AI tools.
- Experience working in a membership-based organisation, not-for-profit organisation, or the music products industry.
Working arrangements
This is a 0.2 FTE position (7.6 hours per week). We offer genuine flexibility in how those hours are worked. Depending on the successful applicant and our operational needs, this could be one full day each week, two shorter sessions, or hours spread across the week. Some regular availability during business hours will be required. The position is fully remote and applications are welcome from anywhere in Australia.
Salary The position will be employed under the Clerks – Private Sector Award at Level 4, plus superannuation.

The Australian Music Association is the national industry association for Australia's music products sector. We represent and support music retailers, wholesalers, manufacturers and other industry participants and deliver a range of industry, membership and public-facing programs and events. Our activities include the Melbourne and Sydney Guitar Shows, Make Music Day Australia, industry programs and events, membership services and projects supporting participation in music and the Australian music products industry.
