We are looking for an enthusiastic and energetic person to take on a part-time administrative role in our Client Experience team.
- Welcome clients, families and visitors as if they have arrived at your home
- Assist to schedule appointments
- Answer the phone with a smile and always sound happy on the phone
- Accurately record messages
- Coordinate and maintain practitioners diaries
- Promptly complete typing of documents at practitioner's requests
- Scan completed client files to save on Practice Management Software.
- Ensure all correspondence from practitioners is sent promptly
- Comfort clients by anticipating their anxieties; answering their questions
- Maintain the reception area, ensuring all confidential material is out of sight of clients,
keep area tidy and free of OHS risks
- Maintain clients accounts by obtaining, recording, and updating personal and financial information.
- Manage client concerns with understanding and compassion
- Implement clinic Policies and Procedures daily
- Demonstrate behaviour in line with our team values
- Process EFTPOS / Cash payments
- Process Medicare rebate for clients via Medipass software
- Monitor stationery supplies and alert Team Leader of orders required
- Note any maintenance issues that need attention
Essential Criteria
- At least 2 years Reception/Administration experience
- Current Working with Children Check
- Flexibility to cover staff leave at short notice
- Ability to worth both in a team environment and autonomously
- Excellent time management and organisation skills
- Ability to multitask
- Punctual, reliable and honest with a robust work ethic
- Excellent written & verbal communication skills
- Eager to be part of the team and support colleagues
- Experienced in Splose is an advantage but not a necessity
- Immediate start
- Attention to detail
