Help keep the properties behind essential community services safe, compliant and running smoothly.
Melbourne City Mission (MCM) is a leading community support organisation working alongside Victorian communities, families and individuals to create positive change.
We are seeking a Property Officer to join our Facilities Management team, providing administrative, compliance and operational support across MCM's property portfolio.
This is an excellent opportunity for a detail-oriented property or facilities professional who enjoys working with systems, data and processes and wants to make a genuine contribution to a purpose-driven organisation.
About the role
Reporting to the Head of Facilities & Fleet, you'll work in a permanent part-time capacity, within a small and collaborative team supporting the operational management of MCM's properties across Victoria.
The role has a strong focus on property administration, compliance, contractor coordination, financial processing and systems management.
You’ll also play an important role in the implementation of Facilio, MCM's new facilities management system. This is an exciting opportunity to contribute to a transformational project while developing your property and systems experience.
The role will continue to evolve as new systems and processes are introduced, so flexibility, adaptability and a willingness to learn are important.
Key responsibilities
Coordinate day-to-day property administration, records and correspondence.
Maintain building compliance documentation and statutory inspection schedules.
Coordinate contractors, site access, compliance and maintenance activities.
Administer property security and access control systems.
Maintain asset registers, property databases and facilities records.
Process invoices and purchase orders and assist with expenditure tracking.
Support capital works, minor projects and preventative maintenance programs.
Prepare property, compliance, maintenance and contractor reports.
Respond to property enquiries and coordinate maintenance requests.
Support the implementation and administration of facilities management systems.
Identify opportunities to improve processes and systems.
Provide basic backup support to the Fleet function when required.
About you
We're looking for someone who is organised, methodical and comfortable working with detail, with the ability to manage competing priorities and take ownership of their work.
You’ll ideally have:
Experience in property administration, facilities management or a related environment.
Strong administrative, data-entry and Microsoft Office skills, particularly Excel, Outlook and Word.
Experience with invoices, purchase orders and/or financial administration.
Experience coordinating contractors or service providers.
Strong attention to detail and a methodical approach to systems and records.
The ability to work autonomously while contributing positively within a small team.
A flexible and adaptable approach, with an interest in systems and continuous improvement.
Experience in property/facilities management, fleet, records or security administration will be highly regarded.
You’ll have the chance to use your skills in an organisation where the work you support directly contributes to essential community services. You will enjoy the benefits of a hybrid working environment and with the role being offered as permanent part-time position, it is the perfect role for someone not looking for fulltime work commitments.
MCM is committed to diversity, equity of access and inclusion, and creating an inclusive workplace where individual employment needs are supported wherever reasonably possible.
