Data Entry Specialist / Junior Data Entry Specialist / Data Entry Clerk (Entry / Junior Level)Role Description
We are seeking a reliable, detail-oriented, and highly efficient Data Entry Specialist / Junior Data Entry Specialist / Data Entry Clerk (Entry / Junior Level) to maintain accurate, up-to-date digital records across our organization. In this entry-level administrative position, you will be responsible for typing, organizing, verifying, and updating large volumes of data into our database systems, spreadsheets, and management platforms. Working under the supervision of Data Operations Supervisors, Administrative Managers, or Department Heads, you will process incoming documents, digitize physical records, conduct routine data audits, and cross-reference entries to prevent duplicate or corrupted records.
Responsibilities include entering customer details, financial logs, inventory metrics, or operational logs with speed and precision, maintaining secure backup files, and routing completed reports to relevant internal teams. Success in this position requires fast, high-accuracy typing capability, strict attention to detail, proficiency with basic spreadsheet software, and a firm commitment to keeping company information confidential.
Qualifications
- Education: High School Diploma, Diploma, or Bachelor's degree in Business Administration, Information Technology, Office Management, or a related discipline.
- Typing Speed & Accuracy: Fast and accurate typing skills (minimum 50+ WPM preferred) alongside strong 10-key numeric keypad proficiency to minimize transcription errors.
- Spreadsheet Proficiency: Working knowledge of Microsoft Excel / Google Sheets (basic formulas, data formatting, sorting, filtering, and cell validation).
- Data Verification & Quality Control: Sharp attention to detail to identify missing entries, spelling discrepancies, numerical errors, or duplicate records, ensuring clean database entries.
- Database & Office Tools: Familiarity or hands-on experience using modern database management systems, Enterprise Resource Planning (ERP) software, or Customer Relationship Management (CRM) tools (e.g., Salesforce, Zoho, Microsoft Access, or proprietary company portals).
- Document Processing & Digitization: Ability to collect, scan, transcribe, and index paper documents or digital forms into structured electronic file formats.
- Organizational & File Management: Methodical file organization skills to maintain standardized digital filing structures, secure naming conventions, and routine file back-ups.
- Data Security & Confidentiality: High level of personal integrity and discretion when handling sensitive corporate, financial, employee, or customer information in compliance with data privacy regulations.
- Communication & Collaboration: Clear written and verbal communication skills to flag missing information or request document clarifications from supervisors and cross-functional team members.
