Due to continued growth, we are seeking an experienced Document Controller / Project Administrator to join our Design & Engineering team based in Belmont, WA.

This role is ideal for a highly organised professional who enjoys working in a fast-paced project environment and takes pride in maintaining accurate documentation, supporting project governance and coordinating project administration activities from project commencement through to completion.

About the Role

Reporting to the Design & Engineering Manager, you will provide document control, project administration and coordination support across engineering and infrastructure projects. Working closely with engineers, designers, project managers, project controls personnel, construction teams, subcontractors, and clients, you will play a critical role in ensuring project documentation remains accurate, compliant and readily accessible.

Key Responsibilities

Document Control

- Maintain project document control systems and ensure compliance with company and client requirements;

- Manage incoming and outgoing correspondence, transmittals, document submissions, and approvals;

- Administer document registers, drawing registers, and Supplier Document & Data Registers (SDDRs);

- Control document numbering, revision management, distribution, and archiving processes;

- Coordinate document review workflows between project stakeholders;





- Maintain accurate project records within SharePoint, Aconex, and approved business systems;

- Monitor documentation status and assist in achieving deliverable deadlines;

- Maintain records relating to RFIs, technical queries, design changes, and approvals;

- Support project handover activities and ensure documentation is complete and auditable.

Project Administration

- Provide administrative support to the Design & Engineering Manager and project teams;

- Coordinate meetings, prepare agendas, record minutes, and track actions;

- Maintain project action registers and follow up outstanding items;

- Assist with weekly, monthly, and client reporting requirements;

- Coordinate onboarding and mobilisation activities for project personnel;

- Support procurement administration, document submissions, and project correspondence;

- Assist with budget tracking, purchase orders, and reporting activities;

- Update project trackers and support project scheduling activities.

Stakeholder Coordination

- Act as the primary point of contact for document control matters;

- Liaise with engineering, construction, procurement, subcontractor, and client stakeholders;

- Coordinate document review cycles and facilitate timely issue resolution;

- Support collaboration between office-based engineering teams and site-based delivery personnel.

About You To be successful in this role, you will bring:

Essential





- Minimum 3 years' experience in Document Control, Project Administration, or Project Support roles;

- Experience supporting engineering, construction, telecommunications, mining, energy, or infrastructure projects;

- Strong understanding of document control principles and quality management systems;

- Advanced Microsoft Office skills, including Word, Excel, Outlook, and Teams;

- Experience using SharePoint and electronic document management systems;

- Experience using Oracle Aconex;

- Exceptional organisational skills and attention to detail;

- Strong written and verbal communication skills;

- Ability to manage competing priorities while maintaining accuracy and compliance.

Desirable

- Experience working on BHP or mining sector projects;

- Experience managing supplier data and engineering deliverables;

- Understanding of engineering drawings, calculations, technical reports, and design documentation;

- Familiarity with ISO 9001 Quality Management Systems;

- Experience with project controls, reporting systems, and project governance processes.
