Supporting senior leaders across Marketing and Supply Chain, this role is critical to ensuring the smooth operation of two fast-paced business units. This position is ideal for a proactive, solutions-focused professional who thrives in fast paced environments. The selected candidate will be required to work 2 days in the Sydney CBD office, 1 day in the Villawood office and 2 days from home per week.

Description
- Provide comprehensive calendar management for senior leaders, ensuring effective prioritisation and scheduling of meetings.
- Coordinate domestic travel arrangements, itineraries, and associated logistics.
- Support leadership with administrative tasks, correspondence, and meeting preparation.
- Act as the primary coordinator for procurement processes, including purchase orders, vendor onboarding, invoice processing, and expense management.
- Monitor budgets, reconcile expenses, and maintain accurate financial records.
- Liaise with internal stakeholders and external suppliers to ensure efficient financial workflows.
- Organise end-to-end logistics for meetings, workshops, training sessions, conferences, and team events.
- Coordinate venue bookings, catering, travel arrangements, and event administration.
- Support the planning and delivery of major business conferences and stakeholder engagement activities.
- Assist with the coordination and administration of strategic projects across Marketing and Supply Chain.
- Maintain document management systems and ensure accurate record keeping.
- Support cross-functional initiatives by coordinating activities, tracking progress, and managing project-related administration.
- Facilitate the smooth day-to-day operation of the office environment.
- Provide administrative support across the wider team and act as a trusted point of contact for operational matters.
- Coordinate learning and development activities, including training schedules and team communications.
Profile
- Executive Assistant, Team Assistant, or Strong Administration experience within a fast-paced environment.
- Experience managing procurement processes, invoices, expenses, and vendor relationships is highly regarded.
- Exceptional organisational skills with the ability to manage multiple priorities simultaneously.
- A proactive, driven, and personable approach with a genuine willingness to take ownership and make things happen.
- Excellent communication and stakeholder management skills.
- Strong attention to detail and a commitment to delivering high-quality support.
- The flexibility to travel between Sydney CBD and Villawood locations when required.
