At Great Southern Grammar, every role contributes to the experience of our students, families and staff. Behind the learning, care and opportunities offered across our School is a professional Business and Administration team that keeps important systems accurate, timely and well supported.
We are seeking an organised, dependable and detail-focused Finance Assistant to provide accounts payable, finance data entry and general administration support. This is a permanent part-time position working 16 hours per week, arranged as four hours per day across four days.
The role offers a practical opportunity to develop finance administration experience within a supportive team.
Previous finance experience will be valued but is not essential; training will be provided to someone who brings accuracy, sound judgement, a willingness to learn and a positive approach to service.
The opportunity
- Create and maintain accurate creditor information and process invoices and payments in accordance with approved School procedures and authorisations.
- Reconcile creditor statements, identify missing or inconsistent information and follow up or refer discrepancies appropriately.
- Complete accurate finance data entry and maintain registers, records, routine documentation and electronic filing.
- Support purchasing and procurement administration, including monitoring outstanding purchase orders and approvals.
- Assist the Finance Team with month-end activities, accounts payable reporting, audit information, asset-register updates and credit-card administration.
- Provide routine administration support to the Finance Team and, where finance workload permits, to the Head of Business Operations across approved business projects, procurement, risk, governance and compliance activities.
- Respond helpfully and professionally to staff, suppliers and service providers while maintaining confidentiality and appropriate financial controls.
What you will bring
- Strong attention to detail and the ability to complete repetitive, process-driven work accurately and within agreed timeframes.
- Good organisation and time-management skills, with a reliable and dependable approach to work.
- Basic computer literacy and confidence using Microsoft Outlook and Excel, together with the ability to learn finance systems and databases.
- Clear written and verbal communication skills and the ability to work cooperatively as part of a team.
- Sound judgement about confidentiality, established procedures and when to seek guidance or clarification.
- A positive, proactive attitude and a genuine interest in developing finance and administration skills.
- Previous accounts payable, administration, data-entry or finance-software experience will be advantageous but is not essential. Formal accounting qualifications are not required.
- A current Working with Children Check, satisfactory National Police History Check and appropriate Australian work rights, or capacity to satisfy these requirements before commencement.
A certificate or relevant study in business administration, accounting or office administration will be well regarded.
