A newly created role to build a newly created service from the ground up!
A rare opportunity has arisen for an experienced Operations, Practice or Legal Operations professional to join a new estates venture at a pivotal stage of growth.
Backed by an established legal business, this newly created role will take ownership of the end-to-end operational delivery of a high-volume Estate Planning service. With significant investment in automation, AI and legal technology, you will play a key role in creating a scalable, market-leading client experience from day one.
This is far more than a traditional Practice Manager role . You will be central to designing how the function operates, improving processes as the service grows nationally and ensuring a seamless journey from initial instruction through to execution, trust transfer and safe custody.

- Up to $190,000 + Super DOE
Your Role Reporting closely to senior leadership, you will oversee the full operational workflow across the Estate Planning division, ensuring matters are delivered efficiently, accurately, and in line with agreed service standards.
Key responsibilities will include
- Managing the end-to-end workflow across client onboarding, drafting, review, approval, execution, trust transfer and safe custody.
- Driving throughput, capacity planning and resourcing against service levels, volume forecasts and matter complexity.
- Coordinating workflow allocation across lawyers and paralegals, while monitoring performance, quality and turnaround times.
- Overseeing onboarding, engagement, AML requirements, billing, post-service trust transfers and matter records.
- Managing safe custody intake, registers and offsite storage transfers in line with established protocols.
- Acting as the key operational contact for financial advisers, clients, legal teams, external providers and the broader joint venture.
- Supporting the implementation and ongoing optimisation of practice management, document management, client portal and workflow systems.
- Maintaining strong data integrity, automated triggers and notifications throughout the matter lifecycle.
- Supporting precedent and clause-library version control under legal sign-off.
- Producing operational reporting and management information to support decision-making and growth.
- Identifying opportunities to improve efficiency,
reduce cost-to-serve and increase automation.
- Developing operational procedures, training materials, knowledge resources and best-practice guides.
- Leading and developing the Operations / Practice Management team as the function grows.
You’ll Be a Great Fit If You are an experienced Operations Manager, Practice Manager or Legal Operations professional who enjoys building, improving and scaling processes, not simply maintaining what already exists.
You will bring:
- Experience in legal operations, practice management or operational leadership within a law firm or professional services environment.
- Robust workflow and service-delivery management experience, ideally within a high-volume or process-led setting.
- Exposure to legal technology, practice management systems, document management platforms or client portals.
- A genuine interest in automation, AI and using technology to improve client service and operational performance.
- Excellent stakeholder management skills and the confidence to work across legal, financial advisory and technology teams.
- A proactive, commercially minded approach to process improvement and change.
- Exceptional organisation, attention to detail and the ability to manage multiple priorities.
- The confidence and autonomy to help build a new operational function from the ground up.
