The Opportunity
We are seeking an experienced Project Coordinator to join our Industrials & Energy WA team at our Protective Coating facility in Henderson. This role is critical in supporting project managers and field teams in the successful execution of protective coating projects, ensuring effective communication, documentation, scheduling, and administrative support to keep projects on track, on budget, and meeting quality standards.

What you'll be responsible for
Operational
- Maintain comprehensive project files, documentation, and correspondence.
- Prepare and distribute project schedules, timelines, and status reports.
- Manage contracts, change orders, permits, and compliance documentation.
- Prepare project closeout documentation and final reports.
- Coordinate project schedules with field teams and subcontractors.
- Schedule equipment, materials, and personnel allocation.
- Adjust schedules based on delays and communicate updates to stakeholders.
- Coordinate with material suppliers and manage purchase orders.
- Track material deliveries and equipment rentals.
- Resolve vendor issues and maintain vendor records.
- Coordinate site logistics, equipment staging, and demobilisation.
- Ensure project documentation is accurate, complete, and maintained in accordance with company quality management standards.
Stakeholder Management
- Serve as the primary point of contact between office and field teams.
- Facilitate communication between project managers, clients, and vendors.
- Respond to inquiries and coordinate site meetings and inspections.
- Communicate quality expectations, inspection requirements, and corrective action updates to project stakeholders.
Financial
- Monitor project budgets and track expenditures against estimates.
- Process invoices and purchase orders.
- Prepare cost reports and alert project managers to budget concerns.
- Track costs associated with quality deficiencies, rework, and corrective actions to support continuous improvement initiatives.
Safety & Compliance
- Ensure project compliance with OSHA and industry safety standards.
- Maintain safety documentation, incident reports, and certifications.
- Support safety meetings and coordinate corrective actions.
- Track quality inspections and maintain compliance documentation.
- Coordinate and maintain quality assurance and quality control (QA/QC) documentation.
- Monitor project activities to ensure compliance with project specifications, client requirements, and applicable industry standards.
- Coordinate quality inspections, testing, and verification activities with internal teams, clients, and third-party inspectors.
- Document, track, and follow up on deficiencies, non-conformances, and corrective actions to completion.
- Support root cause analysis and corrective action processes for quality-related issues.
- Assist with internal and external audits and ensure required documentation is readily available.
- Monitor quality performance metrics and provide regular reports to project management.
- Promote continuous improvement by identifying opportunities to enhance project quality, processes, and operational efficiency.
- Ensure project closeout packages include all required quality records, inspection reports, certifications, and as-built documentation.
What you'll need to be successful
- 10+ years' experience in industry with 5+ years in a similar role
- Trade Qualification
- Project Coordination/Management/Planning experience
- NACE/AMPP 2 certification
- Proficient in Microsoft Projects/Primavera
- Advanced Excel skills
- SAP experience
- Excellent organizational and multi-tasking abilities
- Strong communication and stakeholder management skills
- Ability to work under pressure and meet deadlines
- Proactive problem-solving approach
- Keen attention to detail
