Role Description The Practice Coordinator is a contract, on-site role based in Cheltenham, VIC, responsible for the smooth day-to-day running of the Emotional Health Centre. This position coordinates client bookings, manages practitioner schedules, and oversees front-of-house operations to ensure a welcoming and efficient experience for all visitors. The role includes handling inquiries via phone and email, maintaining accurate client records, processing payments, and supporting compliance with privacy and practice policies.
The Practice
Coordinator works closely with psychologists, social workers, and trainers to prepare rooms and materials for counselling and training sessions and to assist with basic reporting and data entry.
The role also involves responding to client needs with sensitivity, liaising with external providers as required, and contributing to a calm, professional, and supportive practice environment.
Qualifications
- Candidates should possess strong Communication skills, including clear verbal and written communication, active listening, and the ability to engage empathetically with clients and colleagues.
- Candidates should possess Administrative Assistance skills, such as scheduling, data entry, records management, and proficiency with practice management or office software, eg. Halaxy.
- Candidates should possess Customer Service skills, including managing enquiries, handling feedback, and maintaining a skilled, client-centered approach.
- Candidates should possess Training-related skills, such as coordinating training sessions, supporting facilitators, and organising materials and logistics.
- Candidates should possess an understanding of Medicine or mental health-related concepts sufficient to work effectively in a psychological practice and to support adherence to confidentiality and ethical standards.
- Relevant skills and qualifications that would be beneficial include experience in a health or allied health practice, NDIS, knowledge of mental health services, strong organisational and time-management abilities, and the capacity to manage multiple priorities calmly.
- A certificate or diploma in business administration, health administration, or a related field, or equivalent experience in a similar coordination role, is highly regarded.
