About the Role

This is an exciting opportunity for an experienced Medical Receptionist looking to step into a leadership position. As our Senior Receptionist / 2IC, you will support the day-to-day operations of reception, assist with mentoring and guiding team members, and work closely with Practice Management to ensure the smooth running of the practice.

You will play an important role in delivering an outstanding patient experience while helping foster a positive and productive workplace culture.

Key Responsibilities

Leadership & Team Support

- Support and mentor reception team members
- Assist with onboarding and training of new staff
- Promote a positive and collaborative team culture
- Managing staff rosters and coordinating staff coverage to ensure the smooth and efficient operation of the practice.
- Support workflow coordination and daily operations
- Assist Practice Management with operational initiatives

Reception & Patient Care

- Deliver exceptional customer service to patients
- Manage appointments, patient enquiries, and incoming calls
- Process billing, Medicare claims, and payments
- Manage online bookings and patient communications through HotDoc
- Maintain patient confidentiality and privacy
- Ensure a welcoming and professional reception environment

Administration & Operations

- Utilise Best Practice software to manage patient records and clinical correspondence
- Support recalls, reminders, and preventative health initiatives
- Assist with practice administration and compliance activities
- Identify opportunities for process improvement
- Support the efficient day-to-day running of the practice

About You

To be successful in this role, you will have:
- Previous experience in Medical Reception within General Practice
- Senior Receptionist, Team Leader, or 2IC experience highly regarded
- Experience using Best Practice software
- Experience managing appointments through HotDoc highly desirable
- Excellent communication and interpersonal skills
- Strong organisational and time management abilities
- A proactive and solutions-focused mindset
- Professional presentation and a positive attitude
- A genuine passion for patient care and team success
