You’ll be the organiser our operation runs through. Every container delivery and pickup across Perth gets scheduled, sequenced and confirmed by you. Our drivers start their day with a run sheet you’ve built. When something changes — and in logistics, something always changes — you’re the one who calmly reshuffles the day and keeps everyone informed.
Key responsibilities
- Own the daily delivery/collection schedule in our CRM; translate confirmed jobs into the calendar as driver run sheets
- Provide day-to-day direction and job sequencing to Truck Drivers; pre-organise containers for delivery day and assist with loading (HRWL required)
- Monitor, track and record all container movements and weights
- Confirm all bookings, time windows and site details; act as first point of contact for delivery timing enquiries
- Assess site suitability for delivery (full responsibility; training provided on commencement)
- Proactively resolve scheduling conflicts and delivery problems before they escalate; escalate exceptions only
- Track failed and rescheduled jobs with root cause categorised; flag when delivery slots are genuinely tight (calendar capacity signalling)
- Deal with incumbent tenant enquiries via phone and email; answer overflow and unattended inbound calls
- Ensure every call, email and web form is logged in our CRM — zero unlogged leads
- Daily overnight communication and invoice send-out via the CRM; enforce booking hygiene: signed agreements, ID checks, autopay set up, complete delivery information — before the truck rolls
About you
- Experienced in operations coordination, logistics administration or service scheduling
- Comfortable directing drivers and solving operational problems at the source without escalating routine matters
- Solid systems discipline (CRM, Microsoft Office, Job Management); calm under pressure; hates loose ends
- HRWL (forklift) desirable; company-funded on commencement if not held
- Maintain WHS records: incident reports, pre-starts, compliance documentation — complete, current and audit-ready
- Ensure vehicles and equipment are serviced with documentation recorded; maintain asset registers and service schedules
- Administer damage reporting and insurance follow-up
- Order and monitor consumables and merchandise (locks, moving packs, fuel cards)
- Act as the coordination layer between Sales, Business Manager and Drivers; ensure handovers are complete and unambiguous
